Responsibilities:This 40 hour per week position is the lead administrative assistant for the department and reports to the Department Chair. The ideal candidate will be available to work 8 hours per day, Monday through Friday and have the capacity to take on more complex assignments. A flexible work schedule is available, allowing for 2 days to work remotely and 3 days onsite on the Fairfax campus.Reporting to the Department Chair, the selected finalist will be responsible for providing day-to-day administrative support to the Department Chair and faculty. The primary duties of the position include, but are not limited to:Providing all necessary administrative assistance for general office operations, such as directing phone calls, greeting visitors;Providing support for Human Resources operations, such as contract preparation, temporary appointments, and transaction forms;Coordinating the recruitment process for all permanent and temporary positions;Coordinating work permit paperwork for international employees;Maintaining program records;Maintaining employee files and forms for all departmental employees (permanent and temporary);Preparing annual and periodic reports for ACS certification;Coordinating general office services such as preparing and tracking work orders, telecom, equipment, key, and space requests;Scheduling appointments, departmental meetings, interviews, and travel arrangements;Attending monthly departmental meetings, recording and distributing minutes; uploading approved minutes and documents to Blackboard and servers;Providing academic related support for the department, including assisting with course scheduling, enrollment management, and maintaining course syllabi;Assisting faculty, staff and students with academic functions;Assisting the Chair with special events and meetings as requested; andMaking sure the department runs smoothly and helping other administrative staff when necessary.Required Qualifications:Extensive background in the use of word processing and spreadsheet software with strong typing skills and attention to detail;Ability to complete projects in a timely manner with the minimum amount of supervision;Ability to multitask, prioritize and meet deadlines;Ability to interact well with faculty and students and a strong desire to assist them; andAbility to communicate well with people from diverse backgrounds.Preferred Qualifications:Completion of a Bachelor's degree and some experience working in an academic unit within a higher education environment; or equivalent education plus work experience in HR operations and management;Knowledge/experience of basic purchasing procedures including ordering supplies;Experience processing employment contracts;Experience processing travel arrangements;Knowledge of FERPA and experience handling sensitive data related to students, faculty and staff; andKnowledge of Mason university organization and administrative procedures including Banner, Discoverer, and ePrint.
