Administrative Specialist - Department of Information Sciences and TechnologyThe George Mason University Department of Information Sciences and Technology (IST), within the College of Engineering and Computing (CEC), seeks multiple efficient and customer service driven professionals for administrative specialist positions. This position reports to the chair of the department and has direct responsibility for administratively supporting both the department's faculty and the department's academic programs. The incumbent is responsible for all department-centered administrative, human resource, and fiscal functions to include, but are not limited to the tasks below:Greet students and visitors, and route them to appropriate individuals (answering phones, serve as a resource on department procedures and general inquiries, etc.);Serve as primary contact for questions concerning academic programs;Recruit, train, and provide lead work direction to student office assistants;Process documents for all student teaching assistants, adjunct faculty, and part-time hourly wage employees hired to work for the IST academic programs to include distribution and collection of hiring paperwork, origination of contracts, entering personnel assignments, and collection of official transcripts;In conjunction with associate chairs, hold orientations for new student teaching assistants;Generate and maintain spreadsheets that track teaching assistant and adjunct budget;Perform office duties including, but not limited to, handling of incoming and outgoing mail, entering data into basic electronic tables, reports, spreadsheets, making copies, and monitoring and ordering of office supplies;File, secure, and maintain the confidentiality of department files including, private data and information that the office receives on an ongoing basis;Make instructor changes or updates in Banner (Patriot web);Handle requests to add courses, change classroom assignments, and submit textbook orders;Support departmental external relations including, but not limited to, advisory board contacts, marketing, outreach, and strategic initiatives;Assist with special events including, but not limited to, awards ceremonies, convocation, etc.; andOther duties as assigned.Required Qualifications:Bachelor's degree; or a combination of education and experience;Prior experience using word processing, databases, internet, and other PC tools;Demonstrated verbal and written communication skills;Demonstrated customer service skills;Demonstrated organization skills;Prior experience with general office practices and equipment;Prior experience with financial reconciliations; andPrior experience with paying close attention to detail.Preferred Qualifications:Bachelor's degree;Familiarity with University setting, policies and procedures;Knowledge of the ABET documentation principles;Knowledge of online education;Knowledge and experience using university information support systems (e.g., eVA, Microstrategy, and Banner); andDemonstrated work experience (5+ years) at a university, customer service, or administrative position.A Force for Innovation in the Heart of Northern Virginia's Technology CorridorThe College of Engineering and Computing at George Mason University is comprised of the Volgenau School of Engineering and a new School of Computing.
