Description: Receives payment for parts transactions and plays a key role in maintaining or creating customer satisfaction.Essential Duties: Accept all Cash, Check, and Credit Card payments for the Chevrolet Parts Department from customers and delivery drivers. (Retail and Wholesale)Accept Mitsubishi and Toyota Cash and Check payments from delivery drivers.Close all of the departments Invoices and Credits.Verify that all Invoices, Route sheets and Cash logs are signed and appropriately filled out.Notify dispatch if there are any stops that were not delivered and see why.Process customer payments on their charge accounts.Assist parts charge customers with their statements (payments and credits).Approve invoices being held for credit authorization.Send out weekly invoices to charge accounts (Verizon) and any other company who may need them.Take in the proper paperwork from customers regarding key codes. A' . Provide excellent customer service resolving any customer complaints and meeting their needs.Keep track of outstanding or late pay invoices from customers and drivers.Verify and Issue Refund Check paper work to be processed. A' . Retrieving vendor Invoices for returns.Creation of purchase orders for outside vendors to be paid for the dealership. (Stock Units) (Research invalid stock numbers that are given to process PO)Collect and match purchase orders to Invoices before being sent to accounting, also fix invalid PO's.Process credit applications and obtain credit references.Look at Open Orders and see why Invoices haven't been closed.Filing, sorting, and organization of the parts department paperwork.Reconcile daily payments and Receipting for accounting, all payments taken in through parts and creating deposits for Chevrolet / Mitsubishi / Toyota parts departments.Take up all paperwork to accounting that comes through ( Toyota Charges, Mitsubishi Charges, mail, check logs, po's etc.)Send over special order sheets for parts that are in to the BDC in a timely matter to contact customers.Runner for supplies for the department.Back up for creating and placing the Special Order parts order.QualificationsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
