Position SummaryThe Supervisor of Operations is responsible for daily prioritizing, scheduling and coordination of activities for assigned tasks as well as supervision of the repository staff, which includes performance management. Ensure that staff receive all necessary training in required protocols, use of appropriate equipment, handling of specimens and ensure that GMP/GLP/ISO and Safety regulations and standards are met and maintained. Supervise all activities of assigned area in a manner that is consistent with the Precision mission and management philosophy by ensuring that all aspects of our procedures are followed in compliance with the Quality Management System. This includes but is not limited to observation and quality control checks and bringing any abnormal conditions to the attention of appropriate personnel in a timely manner. Prepare routine communications and represent the organization in a professional manner. Actively promote a professional and positive attitude and act as a role model to foster a high performance culture. Extended work hours may be necessary in order to meet business demands.Essential functions of the job include but are not limited to:TrainingPro-actively schedule a meeting regularly with direct supervisor to review challenges, staffing and employee issues and circumstances or as they occurComplete all assigned Training AssignmentsScheduling, Coordination & Lab SupervisionSchedule and coordinate all daily activities for assigned task(s) in an efficient manner in order to achieve successful completion of assigned tasks in accordance with Standard Operating Procedures and multiple project deadlines. This may include assigning monthly tasks (team lead) support upon absence, rotation schedules (Saturday rotations and dry shipper weekly rotation) , daily biorepository schedules (data coordinator) support upon absence, forecasting projects, setting timelines and creating weekly updates for Inventory log (review team task log for correct metrics and PM follow ups)Review direct report timesheets, submit corrections and approvals, as well as work with finance to request new charge codes for the teamCollaborate with other supervisors and members of management to ensure task completion contributes to overall project success and customer satisfactionSuccessfully train assigned repository staff members in proper operation of all protocols, appropriate equipment usage and specimen handlingMay perform job specific competency assessments for direct reports and complete all appropriate checklistsCollaborate with other supervisors to establishing optimal lab personnel coverage among all rotation schedules for repository tasks (ie, fresh processing, frozen processing, freezer monitoring, and inventory of incoming frozen specimens, fresh processing of whole blood, etc.)Pro-actively monitor and order inventory and shipping supplies and maintain appropriate inventory levels Enforce GMP/GLP/ISO and Safety regulations and standardsEnsure safe lab practices and work environment. Immediately report unsafe conditions and employee incidentsConduct complex problem solving as required, using all resources available. This may include investigationsReview and approve all documentation associated with daily tasksAssist in other areas as required to meet customer expectations and daily PM requestsProvide internal and external discrepancy tracking and trending information to Repository Manager(s)Correct paperwork where necessary, and any problems as capable (refer complex problems to Manager) as brought to attention by repository staffOversee the operation of equipment in accordance with standard operating procedures This may include reviewing dry shipper QC forms and approvals or assisting with dry shipper logs / reserve as requestedCommunications & ReportingSupervise staff in keeping with expressed objectives and corporate culture, and in doing so provide a workplace where ideas are sought and considered, initiative is encouraged, success is rewarded, and employees are treated fairly, with respect and recognitionProfessionally and pro-actively communicate with clients and collaborators with regard to specimen tracking and processing, incoming shipment status and withdrawal requests both internally and externallyAssist in advising clients and collaborators on organization and status of withdrawal requests, incoming shipment status, shipping procedures, and processing best methodsCoordinate staff usage with managers and other area supervisors to achieve goals and objectives and to meet multiple project deadlinesManage performance of assigned staff members including coaching on the floor and/or in response to situations, track performance using Performance Notes in Performance Pro including attendance/tardiness issues as well as other related performance metrics; pro-actively participate in all aspects of performance management programConduct regular one-on-one meetings with direct reports, as needed. Share and document information promptly with manager and Human Resources as appropriateAs a member of management, lead through example as well as require adherence to policy, procedure and professional standards at all times, including interactions of direct reports outside of work and on-lineMiscellaneousAttend required in-house management and employee training seminars as scheduledKeep current on IATA Shipping Regulations and maintain certification and standardsCarry out other duties/projects as assignedEdit / Develop SOPs/POPsWork closely with data coordinator to assist in freezer organization goals, tracking freezer transfers, freezer investigations, and freezer suppliesPrepare and generate demosInitiate NCR/Complaint, when applicable or requestedMaintain training matrix for departmentOther duties as assignedQualificationsMinimum Required:Bachelor's degree (Biology, Chemistry or Life Sciences) or equivalent combination of education and experience3 years of relevant laboratory experienceOther RequiredPrior supervisory, leadership or team leader experience required including training team members on new SOPs, policies and proceduresKnowledge of Aseptic techniqueStrong leadership skillsPrevious experience with compliance to internal QMSMust be able to demonstrate high performance work culture standards, manage multiple project deadlines and follow standard operating proceduresRequires excellent communication, interpersonal, organizational and multi-tasking skillsStrong computer skillsGood judgment and discretion requiredAbility to lift and carry between 1-15 lbs.; Ability to lift up to 50 lbs. overhead with assistance; frequently required to sit, grasp, and use right/left finger dexterity; May be exposed to a cold freezer environment (Freezer temperatures range between -20thC -196thC)Must be able to read, write, speak fluently and comprehend the English languagePreferredPrevious LIMS experience and knowledgeSpecific for Fresh Processing Lab - Previous lab experience and demonstrated proficiency with basic laboratory techniques - to include pipetting, cell isolations, centrifugation techniques, cell counting, assay performance, etc.Any data provided as a part of this application will be stored in accordance with our Privacy Policy .Precision Medicine Group is an Equal Opportunity Employer.
