Records Office Manager The George Mason University, Department of Police and Public Safety invites applications for a Records Office Manager to oversee the department's records management operations and public reception. Responsibilities:This position provides administrative service in the Central Records Office, as well as for the public. Applicants should be comfortable performing in a fast-paced office environment, while carrying out traditional clerical and complex administrative duties as a Records Manager, and possess excellent organizational skills. Responsibilities include, but are not limited to:Front desk reception;Data entry and file management;Payment processing and event invoicing;Purchasing of office supplies;Maintaining the department website;Management of confidential police records, data entry, compliance submissions to Virginia State Police and the Department of Motor Vehicles, expungements, subpoenas, and Freedom of Information Act (FOIA) processing;Management of records according to guidelines from the Library of Virginia, payment processing, contract billing, and reconciliations;Ensures compliance with relevant laws, policies and procedures of the Commonwealth of Virginia, FBI/CJIS, and the university;Project support to command staff and other units as needed;Various ad hoc administrative tasks; Responsible for handling telecommunication and electronic access matters, assisting with the department website, and building work orders;Responsible for responding to criminal background investigation checks;Responsible for responding to requests for vehicle crash reports;Lead, support, and direct records office staff;Trains new Records Specialists and administrative staff, completing evaluations when required;Manages individual and team performance; coaches, counsels, motivates and evaluates employees, performing remedial training or corrective action when needed; andMaintains positive liaison with all other George Mason University departments, vendors, and other external entities.Required Qualifications:Bachelor's Degree or equivalent combination of experience and education;Must be, or able to become, a notary public;Ability to learn the policies and procedures for entering/maintaining police records;Excellent working knowledge of Microsoft Office suite and Adobe software; Ability to successfully complete a criminal background check;Excellent written and verbal communication skills;Exceptional customer service skills;Ability to exercise good judgement and decision making skills;Ability to work independently and as member of a team; andAbility to work under pressure and with deadlines.Preferred Qualifications:Experience with law enforcement and/or police records;Knowledge of law enforcement records management principles, procedures, and the proper dissemination of reports;Knowledge of eVA procurement system, p-cards, and purchasing procedures;Experience with WordPress website content management system; Familiarity with PowerDetails software/program;Familiarity with Virginia FOIA laws, FERPA, NIBRS, Clery Act, and record retention schedules;Working knowledge of the Ellucian Banner system;Experience working with a law enforcement Records Management System (RMS) to include both paper records and electronic data; andExperience working at a public reception desk and answering phones, providing customer service.
