Overview The Senior Education and Events Specialist is responsible for implementing, managing, and tracking project deliverables for APIC's EPI Intensive, ASC Intensive, CIC Power Prep and the CIC Prep Intensive Courses. This position will assist the Associate Director, Events & Education from implementation through final execution for the previously mentioned courses. The Senior Education and Events Specialist is expected to perform the duties and responsibilities with exceptional attention to detail. The ability to exercise good judgment in a variety of situations, strong written and verbal communication, organizational skills, and the ability to maintain a realistic balance among multiple priorities is also needed. The Senior Education and Events Specialist must be able to work under pressure to handle a wide variety of activities and respond to inquiries within a timely manner. This position has high visibility and significant interaction with members, vendors, and APIC staff. This position supports the goals and mission of APIC. Major duties and responsibilities Program Implementation (40%) Coordinate faculty contracts through DocuSign. Review and revise course schedules with Education & Events team and other key staff. This includes day(s) and times the course will be offered. Schedule run throughs for each course with the faculty and APIC's IT department. Provide access to course materials to faculty prior to course start date for review and/or updating. Work with SMEs to ensure course content is reviewed and updates are made. Ensure all materials are uploaded in the LMS system for all attendees to access prior to the course. Responsible for sending out pre- and post-event emails to all attendees. This includes course access information prior to course start date, the "Know Before You Go" and the "Thank You" emails. Work with Education & Events department to ensure that all travel and course logistics are scheduled. Complete post-event deliverables to attendees, which includes thank you emails, follow questions and reminders for each course. Provide updates to the Associate Director, Education & Events as needed. Ensure that all course documents are complete, current, and filed appropriately, including writing and/or editing web content, marketing copy. Work with Education & Events department to create events in iMIS and the LMS. Responsible for reviewing and updating course evaluations to ensure compliance with ANCC and Joint Accreditation. Program Planning (30%) Coordinate internal resources and third party/vendors for the flawless execution of courses. Assist Associate Director, Education & Events in securing all faculty for courses. Help determine resources (faculty, time, money, equipment, etc.) required to complete courses. Develop and manage a detailed project schedule and work plan that effectively allocates resources to courses. Assist Associate Director, Education & Events with onsite management and execution of event, which includes but is not limited to working with hotel on F&B and AV setup. Responsible for putting together printed materials for in-person courses. Financial Support (15%) Prepare, submit, and approve invoices in a timely manner. Prepare honoraria reimbursements in a timely manner. Work with accounting to process payments and create invoices. Work with accounting to assist attendees with registration cancellations or refunds. Marketing, Communication, and Customer Service (10%) Provide regular updates to the Education & Events department. Assist Associate Director, Events & Education with marketing and website updates. General Department Support (5%) Update the website with course additions and changes as needed. Maintains event-related pages on the APIC website.
