Duties

The Operation Allies Welcome (OAW), Unified Coordination Group (UCG) has been leading the whole-of-nation effort to welcome our Afghan allies and care for them while we help them resettle and integrate into communities across America. The Special Assistant (SA) reports to the Chief of Staff (COS) and is responsible for providing administrative support to the office of the Senior Response Official (SRO) of the UCG. The SA serves as a confidential assistant, works in a close and direct relationship with staff, and must exercise discretion in the performance of duties and confidentiality of information while effectively managing difficult, tense or emergency situations.

Responsibilities:
· Set up the office of the SRO at the UCG and assist in setting up the SRO at the Incident Coordinator Cell as directed
· Prepare confidential and sensitive documents and maintain such files in the strictest of confidence
· Manage contacts, Zoom/TEAMS meetings and appointments based on UCG and DHS Front Office priorities
· Correspond daily with multiple DHS components and interagency partners to ensure effective and timely coordination
· Prepare and arrange SRO travel itineraries and transportation
· Review and update briefing books and materials for the SRO and CoS
· Receive, log in, and distribute incoming correspondence
· Review outgoing correspondence to ensure accuracy before the SRO's signature
· Maintain established filing system, official SRO files, and transition files back to the DHS HQ

Requirements

Conditions of Employment

  • Must be a current Department of Homeland Security employee
  • Must have supervisory approval to apply to the Joint Duty Assignment.
  • Must NOT have any pending/outstanding disciplinary actions
  • Must have achieved a minimum of "meet expectations/proficiency" on latest performance appraisal/evaluation
  • Must be currently at the grade level of the detail. *No Temporary Promotion Opportunity*
  • The program does not apply to members of the Military service or contractors.
  • Must complete DHS 250-2 Application Form.? Supervisory signature is required.? Please see "Required Documents" section for form.
