Job Summary & Objectives The Legal Secretary supports attorneys in delivering the highest level of service to internal and external clients alike. As a contributing team member, the Legal Secretary is pro-active in balancing multiple work demands, taking personal responsibility for the quality and timeliness of his/her work and maintaining client and Firm confidentiality. The Legal Secretary maintains a professional demeanor and focus and seeks to maximize team contributions and minimize disruption to the workday. Duties Creates, edits, formats and proofreads documents. Prepares legal documents for eFiling and filing via PACER. Communicates to and on behalf of his or her attorney using Firm technology. Prepares new client matter request packet and coordinates approval; coordinates conflict search processes; prepares retainer letters. Reviews proformas and edits bills according to client billing arrangement. Enters, tracks and coordinates new client/matter information. Edits and coordinates client pitches with Marketing Department. Maintains InterAction and/or Extranet data. Maintains electronic and paper files in accordance with Firm guidelines. Maintains and monitors attorney calendars. Coordinates and/or books travel arrangements. Prepares, tracks and maintains attorney expenses in Chrome River. Organizes and coordinates conference calls and client meetings. Other duties as assigned. Skills/Qualifications Education Associates degree preferred. Experience 5+ years of legal secretarial or assistant experience. 3+ years of litigation experience. 2+ years of finance, restructuring and bankruptcy or other relevant experience. Communication Skills Speaks and writes English clearly and succinctly. Certificates & Licenses Notary Public. Competencies Attorney/Client Service customer first focused. Able to draft correspondence. Proficient in Microsoft Office Suite; Chrome River; InterAction; Carpe Diem. Troubleshoots technology issues. Conceptual thinking - understanding how one unique problem set is similar to another. Ability to receive detailed information through oral and written communication. Ability to have close visual acuity to use a computer monitor, read, create, proofread and transcribe documents. Ability to exchange information and receive instructions via phone and email. Ability to work in a high-pressure deadline driven environment and remain professional at all times. Ability to maintain confidentiality. Ability to prioritize and handle multiple projects, with a willingness to accept ownership of projects and be successful in driving those projects, as well as daily tasks, to a successful conclusion. Ability to identify and analyze issues. Ability to develop creative solutions, work in a fast-paced, team-oriented environment, and collaborate with professionals at all levels preferred. Must be able to work extended hours as needed by the Firm to meet client requirements. Physical Demands Ability to sit for long periods of time, type and lift up to 15 pounds. Ability to stand to use copiers, scanners or other pieces of equipment for a prolonged period of time. Other Flexible work arrangements available.
