Overview: Human Resources CoordinatorAs the Human Resources (HR) Coordinator for the American Institute of Physics (AIP), you will provide essential support to the benefits, leave administration, recruitment, and administrative functions of the Talent and Culture department. You will report to the Chief Talent and Culture Officer and work with a team of 5 to deliver services for the 125 internal staff of AIP, approximately 200 retirees, and 5 of our member organizations as well as our subsidiary. We are guided by our Strategic Framework and your work will support our goal of being recognized for cultivating an effective, talented, diverse, and engaged staff that delivers excellence to our stakeholders.Primarily, your responsibilities will be benefit and leave administration, personnel file management, recruitment support, vendor billing (including breakdown relevant to member societies), and HR metrics reporting. You will leverage your technical expertise to navigate our different systems to generate reporting, keep complex spreadsheets up to date, and create processes for streamlining reoccurring reporting. One of the first projects you will tackle is completing the transition of hard copy files to digital storage. Working closely with the Director of HRIS, Benefits, and Compensation, you will enter employee information into ADP Workforce Now, process changes and terminations, support benefit and leave administration for internal staff and member societies, and produce required monthly compliance reports. You will coordinate with the Talent Specialist to develop job postings, post open positions, and schedule interviews and orientation. Your position will give you the autonomy to complete projects independently while still being supported by a close-knit talented team of HR professionals.Organization OverviewThe American Institute of Physics is a 501(c)(3) membership corporation of scientific societies. As an institute, we operate as a center of excellence using policy analysis, social science, and historical research to promote future progress in the physical sciences.ResponsibilitiesBenefits administration for 7 organizations (AIP, AIPP and member societies)Process new hire benefits, enrollment, and terminations.Initiate and track COBRA and coordinate with Lincoln Financial Group on leave administration.Liaise with retirees regarding post-retirement medical plans; provide information and answer questions; enter data into Aetna for retirees in the Under 65 (U65) plan; manage spreadsheets. Process monthly vendor billing, allocating costs to appropriate member societies.Retirement administration for TIAA loan requests. Assist in coordination and support of member society medical plans, open enrollment, and unemployment claims; answer benefit-related questions from employees and members.Support Safeter and One Call administration.Leave administrationAdminister requests for FMLA, STD, and LTD, forwarding and monitoring requests to Lincoln Financial.Coordinate paid and unpaid leave use with payroll.Monitor all cases of employee leave and provide regular reports.Metrics, reporting, personnel filesPerform data entry for new hires, changes, and terminations in ADP and Aetna where applicable.Extract data from ADP and other sources to produce reports and salary analysis, etc.Work with Docufree to convert all remaining hard copy files to online storage and upload them into ADP as applicable.Maintain electronic personnel files and records.Process and monitor Retirement Reimbursement Arrangement (RRA) with UnitedHealthcare (UHC) weekly claims.Support AIPs SmarTrip program (process/instructions).Prepare monthly benefit spreadsheets for three member societies.Recruiting and program coordinationAssist in preparation of job descriptions and post job openings.Schedule interviews and orientation.May coordinate DEI-related programs.Qualifications2+ years of HR support experience with a background in benefits, leave administration, payroll, and recruitment; Bachelors degree is preferred. Familiarity with ADP Workforce Now or another similar HRIS.Knowledge of Multiple Employer Welfare Arrangement (MEWA), Consolidated Omnibus Budget Reconciliation Act (COBRA), Family Medical Leave Act (FMLA), and Employee Retirement Income Security Act (ERISA) is a plus.Proficient with Microsoft Office, especially Excel, Outlook, and Teams.Proven ability to effectively communicate and support vendors, applicants, all levels of staff, and the public using discretion and maintaining confidentiality with sensitive information.
