Overview: The Distribution Center Human Resources Coordinator is responsible for supporting the DC HR Manager and the Operations team with facilitating communication, reporting, and area based projects. Responsibilities include organizing large amounts of incoming documents and information, maintaining filing system as well as monitoring and tracking systems to keep historical information related to HR. Effectively and efficiently uses established procedures, tools, equipment, and technologies to complete assigned duties while meeting Vitamin Shoppe expectations. Responsibilities: Coordinate the design, development and maintenance of communication and activities that enhance and promote The Vitamin Shoppe as an employer of choiceAssist in the development and coordination of branded communication initiatives for the DC HR Manager in order to provide accuracy and consistency in both internal and external departmental documentsCoordinate and communicate HR related activities as necessaryCoordinate the update of all DC communication boards in a timely mannerProvide timely professional support to health enthusiasts and managers regarding policies/procedures, FMLA, medical/dental benefits, unemployment and other company benefits. Field and properly channel employee inquiries. Report work related injuries to our Total Rewards team as necessaryAssist senior managers and their support staff to understand the HR processesAssists the DC HR Manager with health enthusiast relations issues (ie standard health enthusiast issues and works with DC HR Manager to resolve complex issues).Research and gather information on existing and new state and federal laws/regulations.Distribution Center Talent Acquisition & OnboardingPrepare recruitment lists, open requisitions, and job postingsMonitor walk-in applicant activity and serve as first point of contact for Distribution Center applicants and temporary agenciesCoordinate interviews with hiring managers and applicantsParticipate in the new hire process for employees, which may include: initiating background checks, issuing and collecting new hire documents, preparing on-boarding packages, and leading new hire orientations Complete the new hire process in iCIMS and confirm new applicant information in the ADP database and complete set-up of new hires in WMS systems as needed.Work closely with all temporary agencies payroll dept to ensure temps are paid in a timely mannerCoordinate, prepare, maintain and troubleshoot reports and spreadsheets that support strategic business decisions.Generate reports and spreadsheets for DC HR and management to prepare for weekly and monthly staffing budget G & A reviews. Alter query variables in order to generate more complex or ad hoc reportsAssist with completion of monthly and year-end reports regarding terminations, invoices, pay rate changes, and new hires.Troubleshoot, perform basic analysis and make recommendations to fix/revise spreadsheet/reports to support management decisions Track, reconcile and process Distribution Center invoices related to staffing needs in a timely mannerCoordinate the activation and deactivation of WMS user IDs and passwords with IT in a timely mannerCoordinate, manage and participate in DC HR and Operations projects.Provide support to the DC HR Manager and Operations Management Team on different HR related projects and activitiesIdentify roadblocks that may impact deliverable dates and recommend alternative solutionsInform direct supervisor of any problems and actively participate in process improvementsOther Functions:Assist with the day-to-day efficient operation of the DC HR office Ensure that Human Resource files and records are maintained in accordance with legal requirements and company policies and proceduresPerforms other DC HR duties as assigned.The DC HR Coordinator will deal with highly confidential information on a daily basis, and must exercise good judgment at all timesSupervisory Responsibilities:No direct supervisory responsibilities. Qualifications: Education/Certification:Associates Degree or equivalent combination of intellectual instruction and work experience.
