Overview The Specialist will provide administrative and logistical support to the Government Affairs and Practice Guidance departments and the volunteer committees they oversee. Under the supervision of the Associate Director, Legislative Affairs and Director of Practice Guidance and Research, the Specialist will be responsible for maintaining relevant webpages and disseminating digital communications. This position will be responsible for drafting a wide variety of written communications such as eNews articles, memos, reports and PowerPoints to support the work of the Director and Associate Director. Additionally, the individual will be responsible for coordinating grassroots efforts and supporting Chapter Legislative Representatives in their efforts to engage members on state/federal campaigns. This responsibility will include tracking state legislation and informing states leaders about bills of concern. The specialist will help coordinate meetings between APIC members and policymakers to support the adoption or implementation of APIC initiatives. They will also engage with policymakers, their staff, and APIC members to further APIC legislative priorities. The position will support committee activities such as scheduling meetings, drafting minutes, providing technical support for committee members, drafting PowerPoints and maintaining documents in online workspaces. The Specialist supports committee and department activities related to APIC. Major Duties and Responsibilities Administrative Support (40%) Provide administrative, logistical, and budget/reimbursement support to the Government Affairs and Practice Guidance department and assist with coordination of the team. Maintain the content on the Government Affairs and Practice Guidance areas of the website as assigned. Cover and document Congressional, state legislative, regulatory, or scientific meetings or hearings as assigned. Advocacy Support (30%) Assist in onboarding new Chapter Legislative Representatives (CLRs): including entering new CLRs into our database, updating members on our MyAPIC community, and through the Action eList. Create and distribute training materials for CLRs on their roles and responsibilities. Review and analyze state legislation impacting the infection prevention profession and updating APIC Chapter Legislative Representatives (CLRs) as necessary. Attend legislative meetings with state and federal legislators. Assist in logistics of member lobby days in state legislatures and Congress. Committee Support (20%) Schedule and participate in committees/taskforces conference calls and meetings. Draft minutes and coordinate action plans, processes, and/or projects. Assist with committee recruitment, committee rosters and committee electronic workspaces General Department Support (10%) Write timely and accurate articles for print publications and weekly E-News publication. Create mass communications using Emma and CQ Engage. Maintain and document standard operating procedures for compiling and reporting on government affairs issues. PandoLogic.
