Long Term Healthcare - Job Description Job Title: Scheduler Reports To: Director of Nursing Status: Non-Exempt Positions Summary: Performs various administrative activities to support the Human Resources, and Nursing/Employee Health departments and to contribute to the efficiency of overall operations. Prepares the nursing master staffing schedule. Transacts payroll with payroll vendor and maintains internal payroll and attendance records. Essential Duties and Responsibilities: Utilizes a master schedule framework to complete a monthly schedule for all nursing staff and posts it in advance in accordance with facility policy. Prepares daily staffing sheet for the nursing department, assuring that adequate numbers of licensed nurses and assistants are available. Contacts temporary staffing agencies to place orders for staffing needs and identify temporary staff sscheduled on the daily staffing sheet. Maintains records of temporary staff timesheets and required information, reconciling them to the schedule and to the agency invoice. Computes and maintains records of daily staffing ratio, including total hours worked, agency hours worked by classification, hours of staff call-outs, and submits report to administration monthly. Advises the Director of Nursing about staff members with attendance problems and of any problems in filling staff vacancies. Reports special staffing arrangements to shift supervisors. Maintains records of nursing licenses and certifications and advises staff 28 days before expiration to prevent any lapses. Assists the Human Resources Director in processing payroll, verifying hours worked in the Nursing Departing, computing bonus time and other payroll functions as assigned. Meets with newly hired nursing department employees prior to orientation to discuss scheduling needs. Informs Human Resources office in writing when any nursing employee changes status. Coordinates scheduling of facility orientation with the Staff Development Coordinator. Personalizes orientation based on employee needs as requested by Nursing Department or Staff Development. Schedules and provides unit coverage for staff training/and or individual skills remediation as requested by Staff Development and/or Nursing Department. Maintains current logs and files of schedules, temporary staff credentials and other information for the Director of Nursing. Maintains the confidentiality of all employee personal information and any resident information in accordance with HIPAA and other federal and state regulations. Performs all tasks and duties in an efficient and safe manner. Performs other related duties as assigned or as necessary. Remains flexible and adaptable in work schedules and work assignments as defined by departmental and facility needs. Represents the Nursing Home in a manner that conveys professionalism, confidentiality, courtesy, fairness, personal integrity, and respect for the fundamental rights, dignity, personal comfort and privacy of others. Qualifications: EDUCATION AND/ OR EXPERIENCE High School Diploma required with prior experience in HR/Payroll rules and regulations, including FLSA, HIPAA, overtimes and wage and hour rules. Ability to establish and maintain effective working relationships with all levels of nursing staff, administrative staff, staffing agencies and the public. Must have experience using computers for word processing and Excel spreadsheets. Must have an understanding of Nursing Staffing protocols in a long-term care setting. #VHG1HP2
