Duties

As an Administrative Assistant (Office Automation), you will:
  • Use computer software to create, edit, and print reports, spreadsheets, graphic presentations, email distribution lists, and a variety of correspondence to ensure proper format, spelling grammar, punctuation and compliance with agency policies and procedures.
  • Provide office support by answering phones, greeting visitors, distributing mail and filing.
  • Utilize agency forms and processes to input unit's information and keep databases on agency shared platforms accurate and up to date.
  • Manage the work flow for the office by prioritizing projects and establishing standard operating procedures. Assist in arranging meetings for internal and external groups. Ensure all office equipment is in working order and contact appropriate source when repairs are required.
  • Maintain office calendar, update schedules, and provide daily, weekly printouts to supervisor. Serve as primary or backup timekeeper and travel expense reviewer.
  • Create, maintain and update computer-based records and verifies accuracy of data and distribute them to staff.

Qualifications

You must meet the following requirements within 30 calendar days after the closing date of this announcement:

You must have one year of specialized experience at a level of difficulty and responsibility equivalent to the NB-II pay band level or GS-4 in the Federal service. Specialized experience is experience that equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position and is typically in or related to the work of the position to be filled. Examples of specialized experience for this position include:

Providing clerical and administrative support to an organization such as drafting letters or creating reports using automated systems, maintaining files and records, and communicating with individuals inside and outside the organization to share or obtain information.

OR

You may substitute education for specialized experience as follows: You must have four years of education above the high school level in any field obtained in an accredited business, secretarial or technical school, college or university.

OR

You may qualify by a combination of experience and education. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience.

AND

Typing proficiency of at least 40 words per minute.

The experience may have been gained in the public sector, private sector, or through volunteer service. One year of experience refers to full-time work; part-time work is considered on a prorated basis.

  • Salary range includes 22.26% geographical pay.
  • If you are a current OCC employee who previously received a waiver determination permitting you to retain bank securities due to extenuating circumstances, please note that this determination may be rescinded if the nature of your duties changes. We strongly suggest that you discuss the potential implications of any change in duties on a prior securities determination with your ethics official.
  • This is a nontraditional position subject to the Alternative Location Arrangements PPM 3110-53. It may be filled in an alternate location within specify organization provided the location is cost effective, operationally efficient, and complies with the standards contained in PPM 3110-53.
