Duties

As a EXECUTIVE ASSISTANT at the GS-0301-7 some of your typical work assignments may include:
  • Knowledge of Defense Travel System (DTS) in order to review and approve authorizations and vouchers for official travel.
  • Reviews internal administrative policies and processes within the directorate and recommends solutions to administrative problems or ways to improve administrative efficiency.
  • Uses a variety of office automation software to prepare, review, and track correspondence and logs and tracks all actions routed through the executive office for comment/approval/signature/certification.
  • Maintains various calendars, scheduling appointments, meetings and conferences.
  • Manages Enterprise Task Management Software System (ETMS2) (formerly known as the Task Management Tool (TMT)) for both classified and unclassified taskers.
  • Reviews documents to verify length of implementing attachments, addressees, and order of listing for Executive branch offices, agencies, and combatant commands.

Qualifications

You may qualify at the GS-07, if you fulfill the following qualifications:

A. One year of specialized experience equivalent to the GS-5 grade level in the Federal service:
  • Knowledge of grammar, punctuation, spelling, and proper use of the English language in order to perform mechanical editing of Directorate and Agency staff documents.
  • Knowledge of Defense Travel System (DTS) in order to review and approve authorizations and vouchers for official travel.
  • Knowledge of the range of administrative laws, policies, regulations as they relate to precedents applicable to the administration of one or more of important public programs. OR
B. Degree: Bachelor's degree with Superior Academic Achievement or One academic year of graduate education (or law school, as specified in qualification standards or individual occupational requirements).
Superior Academic Achievement: S.A.A. is based on (1) class standing, (2) grade-point average, or (3) honor society membership.
  • Class standing -- Applicants must be in the upper third of the graduating class in the college, university, or major subdivision, such as the College of Liberal Arts or the School of Business Administration, based on completed courses.
  • Grade-point average (G.P.A.) -- Applicants must have a grade-point average of:
  • 3.0 or higher out of a possible 4.0 ("B" or better) as recorded on their official transcript, or as computed based on 4 years of education, or as computed based on courses completed during the final 2 years of the curriculum; or
  • 3.5 or higher out of a possible 4.0 ("B+" or better) based on the average of the required courses completed in the major field or the required courses in the major field completed during the final 2 years of the curriculum.
  • Election to membership in a national scholastic honor society -- Applicants can be considered eligible based on membership in one of the national scholastic honor societies listed below. These honor societies are listed by the Association of College Honor Societies (external link) . Agencies considering eligibility based on any society not included in the following list must ensure that the honor society meets the minimum requirements of the Association of College Honor Societies. Membership in a freshman honor society cannot be used to meet the requirements of this provision.

  • Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

    GRADUATE EDUCATION: One academic year of graduate education is considered to be the number of credits hours that your graduate school has determined to represent one academic year of full-time study. Such study may have been performed on a full-time or part-time basis. If you cannot obtain your graduate school's definition of one year of graduate study, 18 semester hours (or 27 quarter hours) should be considered as satisfying the requirement for one year of full-time graduate study.

    FOREIGN EDUCATION: If you are using education completed in foreign colleges or universities to meet the qualification requirements, you must show that the education credentials have been evaluated by a private organization that specializes in interpretation of foreign education programs and such education has been deemed equivalent to that gained in an accredited U.S. education program; or full credit has been given for the courses at a U.S. accredited college or university.
