Duties

The ideal candidate will assist the administrative support staff in establishing procedures to enhance the effectiveness and efficiency of the program office.

Duties include but are not limited to:
  • Providing a full range of administrative and executive secretarial support, including maintaining appointment calendars, providing travel arrangement support, and maintaining travel records;
  • Reviewing correspondence and reports for accuracy and clarity, with particular attention to detail, and ensuring that all documents are prepared according to agency and office policies and standards;
  • Responding to inquiries of a non-technical nature, verbally and/or in writing;
  • Providing advisory services to senior-level officials, managers, and employees on their financial reporting obligations and how to use IT systems to file reports;
  • Performing initial examinations of financial disclosure reports; preparing and forwarding correspondence and recommendations in finding an appropriate resolution;
  • Confirming institution assets and liabilities by reviewing balance sheets and other accounting documents;
  • Researching and compiling material into reports, conducting basic analysis, designing layouts, and consolidating raw data into appropriate formats for presentation, including preparing documents for meetings (e.g., reports, tables, charts, and graphs);
  • Updating and maintaining the program office filing system along with managing document retention and archiving;
  • Handling a variety of administrative matters which do not require the immediate attention of the support staff;
  • Assisting with procurement requests to include preparing agency internal forms and applying fund citations as appropriate;
  • Managing and assisting with acquiring office supplies and service requests for repairs and maintenance of facility office equipment, and furniture;
  • Serving as backup support to other administrative support staff and assistants, preparing agendas for weekly meetings; and
  • Performing special projects/tasks as assigned.

  • You will be required to serve a trial period if selected for a first-time appointment to the Federal government, transferring from another Federal agency, or serving as a first-time supervisor. Failure to successfully complete the trial period may result in termination of employment.
  • If appointed to a temporary position, management may have the discretion of converting the position to permanent depending upon funding and staffing allocation.


  • Qualifications

    Applicants must have demonstrated experience as listed below. This requirement is according to the AO Classification, Compensation, and Recruitment Systems which include interpretive guidance and reference to the OPM Operating Manual for Qualification Standards for General Schedule Positions.

    Specialized Experience : Applicants must have one year (52 weeks) of specialized experience which is in or directly related to the line of work of this position. Specialized experience is demonstrated ability to perform and manage administrative functions in an executive-level office to include dealing with confidential matters, exercising tact and diplomacy, and interacting with high-level officials.
