Faculty Support Administrative AssistantThe Antonin Scalia Law School is seeking an efficient, energetic, and organized team player to act as a Faculty Support Administrative Assistant. George Mason University has a strong institutional commitment to the achievement of excellence and diversity among its faculty and staff, and strongly encourages candidates to apply who will enrich Mason's academic and culturally inclusive environment.About the Position:This position is primarily responsible for the daily coordination and execution of administrative and academic support for an assigned segment of the full-time tenured/tenure track faculty, term professors, and administrative professional faculty in performance of their teaching, research, and service responsibilities. Providing responsive, professional, enthusiastic, and reliable support to all area constituencies is crucial. Additionally, each administrative assistant may be asked to lend support to the Dean's office or other units within the law school on an as-needed basis to help the school achieve its mission of providing quality legal education to JD, LLM, and JM students.Responsibilities:Academic Support for Assigned FacultyClassroom preparation including ordering textbooks; preparing seating charts, rosters, and attendance sheets; tracking attendance, if requested;Prepare course material packets made available to students;Provide document preparation and editing assistance for exams, reports, correspondence, syllabi, and other instructional materials;Prepare PowerPoint presentations;Photocopying, scanning, and printing documents;Process all copy and print service requests;Coordinate exam prep with Records and assist with exam review requests;Ensure exam materials are stored according to established Law School policies; andSchedule appointments with students, as requested.Administrative Support for Assigned FacultyPrepare travel authorizations and process reimbursements through Mason Finance Gateway immediately upon completion of the trip;Track reimbursements through the queue to ensure payment request is processed and paid;Manage Faculty Budget, as requested;Make travel arrangements as requested, including flights, hotels, car rentals, and event registration;Use University purchasing card (p-card) as appropriate for faculty expenses; allocate transactions correctly and in a timely manner;Process supply and other orders through the eVA system;Coordinate office set up for new faculty members and assist with office moves for existing faculty;Prepare, organize and maintain files for individual faculty members and committees and ensure proper records retention and disposal; andAssist faculty members with operational (not technical) aspects of systems including email, Patriot Web, and other job-related systems. Scholarly and Research Support for Assigned FacultyPrepare professional, effective, and grammatically correct drafts and final copies of scholarly articles and writings; Review and proofread drafts;Use the Internet and library resources for research and reference;Assist with filing, coordinating, and storing of documents;Manage social media accounts as requested; andMail articles to journals and other scholars.General Administrative Support for the Law School Remain current on all law school and University policies;Attend trainings on essential job-related functions and systems;Submit work orders for your area, as needed;Perform routine office management;Assist students and external parties in making the proper connections to address their needs;Work collaboratively with appropriate law school and University staff on financial, personnel, and other administrative matters such as travel, eVA orders, pcard transactions, IT support, reimbursement requests;Take attendance at faculty workshops;Process and submit vouchers for workshops as needed or requested;Assist with reimbursement vouchers for affiliated clinics and programs, as requested; andExecute other duties and responsibilities as assigned by the Dean's office. Required Qualifications:Experience providing administrative support (typically 3+ years);Proficiency using e-mail (Outlook), internet, Microsoft Office Suite (Word, Excel, PowerPoint), and Adobe; and willingness to learn new software programs, as needed;Exceptional written and oral communication skills; Prior experience supporting multiple people and handling multiple tasks simultaneously;Ability to work effectively within a team and relate well to faculty and staff at all levels of the University;Working knowledge of standard office equipment;Discretion and ability to handle sensitive and/or confidential information; andProfessional demeanor and presentation; well organized, self-starter with good interpersonal skills.Preferred Qualifications:A bachelor's degree; or a combination of education and administrative assistant work experience;Experience working in higher education or significant university involvement while in a degree seeking program; andExperience with eVA and other university systems.
