Bay Engineering, Inc. of Annapolis, Maryland is looking for an experienced Administrative Assistant.
Bay Engineering, Inc. is a full-service land development-based engineering and surveying consulting firm located in Annapolis, MD. The firm opened in 2000 and has grown to a firm of 40+ employees, many of which are licensed professional engineers and land surveyors. The partners each have over 35 years of experience in surveying and engineering. Our firm is located in Anne Arundel County and we perform work within the County and the City of Annapolis as well as neighboring jurisdictions.

As an Administrative Assistant, you are an invaluable asset who is critical to the success of the organization. The office will rely on your hard work and efforts to maintain the efficiency that is in place. You will need to be comfortable using modern technology and other office equipment to complete administrative tasks. Excellent communication skills are a requirement of the job as you will be occasionally answering phone calls and maintaining relationships with our clients. You will need to be extremely dependable and put your best effort into all responsibilities. While your job duties may fluctuate day to day, here are some areas we would like to see you proficient in:
Backup to receptionist
Communicate with electrician, plumber, HVAC, locksmith, etc. (office management)
Continuing education/membership and certification renewal for owners and project managers
Coordinate meetings/conference calls/reviews/interviews, travel (hotel, airfare, etc.)
Create IT tickets and follow-up until completion
Help project managers with proposals and bid packages
Monitor field crew GPS
New/leaving employee coordination
Order clothing for crew members, entire office and clients
Order/coordinate job site signs and magazine advertising
Organize and update employee and company resume information
Plan lunches, Christmas, picnic, office events, gifts, sending flowers, etc.
RSVP and send payment for events and donations
Manager help wanted ads
Update workload reports and type documents
Maintain website, aerial photography/Facebook/LinkedIn
Work with recruiters and schedule interviews
A successful candidate must have the following qualifications:
A minimum of three years working in a professional environment
Strong interpersonal and organizational skills
Excellent verbal and written communication skills
High proficiency with Microsoft Office and social media platforms
Detail oriented and efficient
