Our client, a well known medical center located in Arlington, VA is seeking an Executive Assistant to support both the Chief Financial and Chief Legal Officers in a direct hire opportunity.   • Set up and maintain a filing system such that it permits ease in document/information retrieval. Maintain and manage various databases of financial, managed care and other information.
  • Generate correspondence, memorandums, and forms; and develop and maintain databases, spreadsheets, flow charts, and graphic reports as required. Provides technical software application assistance when requested.
  • Prepares expense reports for reimbursement of expenses.
  • Supports the Administrative Staff with various meetings, with regards to preparation of meeting packets, attendance, phone calls, catering request, meeting notices and agendas. Assist and work with the various board members.
  • Provides administrative support to leadership. Maintains calendars and schedules appointment and meetings including locations, times, dates and catering requests as needed. Coordinates correspondence including communications, memorandums, policies and procedures, forms, organizational charts and reports for executive and management staff.
  • Maintains calendars for the SVP/CFO and coordinate the scheduling of appointments and meetings. Arrange meetings with locations, times, dates, catering, and attendance when required.
  • Ensures adequate office supply levels are maintains through regular ordering channels. Maintain the repairs of office equipment.
  • Prepares presentations and information for various Hospital services as requested.
  • Takes appropriate action to confirm the times and places of scheduled meetings. Provides minutes of meetings and ensures distribution to staff members in a timely fashion. Distributes pertinent information, as determined by the SVP/CLO, prior to scheduled meetings.
  • Prepares for, attends, and writes minutes for the Board, Finance, EPOC, Audit and Pension Committees.
  • Attends weekly Financial Council and prepares minutes in a timely manner
Background Profile/Requirements:
  • Bachelor's Degree preferred, but not required
  • At least 4 years experience in administrative roles, and some experience supporting C-suite executive
  • This role is 100% on site and requires wearing a mask
  • Excellent communication both written and verbal
  • Ability to work under pressure, multitask and prioritize tasks
  • Intermediate skill with Microsoft Office Suite required- this role will require assessments for Word, Excel, Powerpoint and Outlook
  • Ability to work independently and as part of a team
