Administrative Manager, Advancement The George Mason University, School of Business is looking for an energetic, organized and detail oriented Administrative Manager to support the Advancement Team. This position professionally represents the School of Business' Advancement Office to all constituents; provides administrative support to the Director of Advancement, Business and staff and Campaign staff; and manages other administrative support personnel and student workers in an efficient and effective manner in a fast-paced environment subject to multiple demands and changing conditions to support the achievement of mission and goals of the School of Business This is a full-time classified staff position with full benefits. Responsibilities: The Administrative Manager position has responsibilities in the following areas:Advancement Office Administrative ManagementProvide a full range of operational functions which includes: Calendar management; Budget reconciliation;Gift processing;Data base management; and ReportingGenerate appropriate electronic and other correspondence and execute donor stewardship activities; Monitor and update all databases and records for development activities and generate reports as required; and Manage office interns and student workers, when appropriate.Procurement SupportProvide administrative support (and manage staff who also utilize the University eVA system and credit card as appropriate) to process purchases for goods and services; Utilize the University Travel Request System to generate travel authorizations and reimbursements;Utilize other University systems to aid the Advancement team with procurement needs as applicable (i.e., Sodexo Catering system, Food & Beverage forms, Payment Request Forms, etc.); andCoordinate the departments financial reporting related to procurement, planning, contracting, and foundation accounts.Advisory Board ManagementServe as the operations manager for advisory and alumni chapter boards, helping with strategy, planning, elections, events, and communications for the boards;Key point of contact for faculty leadership, board chairs, and board members and, on behalf of the board, serve as the liaison with appropriate departments in the School regarding mentorship opportunities, classroom speakers, and other engagement opportunities; Maintain up to date rosters, addresses, and board commitment donations and stewardship; and Maintain and update all board websites, as well as manage all weekly/monthly board emails and newsletters.Administrative Support for Building CampaignManage the schedule, meetings, materials, collateral, and donor profiles for the School's Building campaign;Provide administrative support for the Campaign Director and the Volunteer Building Campaign Steering Committee's meeting and visits with prospective donors; andSupport the needs of outside consultants and the university's advisers by providing timely correspondence and information.Required Qualifications: Bachelor's degree or an equivalent combination of education and experience; Strong interpersonal and organizational skills, excellent verbal and written communication skills;Skills to provide all aspects of executive level administrative support, especially communication with and generation of external correspondence to the key constituents such as donors and the business community;Ability to maintain absolute confidentiality in a highly visible office;Ability to effectively communicate and work with others to achieve results; andGood citizenship and the ability to work well with colleagues. Preferred Qualifications:Experience in senior level administrative management and support in an academic environment;Proven ability to work effectively work in a dynamic environment and in support of a high-level management team;Excellent computer skills with working knowledge of all applications in Microsoft Office, electronic calendaring, database expertise, and e-mail; Experience working in a higher education environment; Experience with University applications such as eVA and Travel Request System, School applications and files, and Development databases and reporting formats; Knowledge of University and School of Business programs, policies, and procedures;Ability to work independently and to complete multiple tasks within tight deadlines; and Ability to provide timely and relevant input concerning external relations activities, meetings, and events as well as to act for the good of the Advancement office and the School in a wide variety of situations.
