POSITION SUMMARY:Under the general supervision of the Office Manager, operates a multi-line telephone, greets all visitors, supervises the fax machine, performs monthly letter mailings, ships urgent packages daily, places orders for breakroom supplies and stocks coffee stations. Responsible for office organization and cleanliness, provides general office maintenance and specific administrative support activities as required. Hours are 8:30am-5:00pm M-F in-office only.QUALIFICATIONS:Minimum requirements are a high school diploma and three years of work experience in a position with equivalent job responsibilities, preferably in an office setting. Customer service experience is a plus. Consideration may be given to a candidate who meets all other special requirements, knowledge and skills through job or life experiences.SPECIAL REQUIREMENTS:Must have an understanding of and manual dexterity sufficient to operate telephones, computers, copy machines and other modern office equipment. Must be able to speak clearly in order to accurately convey information in person or by telephone and must be able to hear and understand speech both over the phone and in person. Must have vision correctable to 20/20 in order to read computer screens.KNOWLEDGE AND SKILLS:Able to demonstrate correct English usage, grammar, spelling, and punctuation. Must be able to type 40 words per minute. Able to demonstrate clear understanding of Microsoft Office Operating System. Must be detail oriented, organized and ability to work in a team environment.Demonstrates appropriate telephone skills and receptionist techniques. Must be poised, polished, and professional. Must be absolutely reliable, punctual, and completely dependable. Must be capable of handling sensitive information with total confidentiality. Must have excellent interpersonal skills including a pleasant personality, desire to work well with others, and tactful and effective oral/written communication. Must be able to work independently and without supervision, follow oral and written directions, carry out all assignments in a timely fashion and show initiative in following-up problems without request.JOB RESPONSIBILITIES:Effectively answer, screen, and direct all incoming telephone calls politely and confidently. Speedy relay of messages on any death call, potential donor call or organ offer is absolutely essential.Accurately record and distribute voicemail messages to appropriate personnel.Provide excellent customer service to hospital partners, donor families, recipients, vendors, etc.Greet all visitors in a friendly, hospitable manner, informing the appropriate staff of the arrival in a timely fashion. This includes professional handling of all office deliveries, catering deliveries and service personnel.Maintain complete organizational security and safety during office hours.Send Remembered for Life (RLMs) memorial boxes via USPS daily to donor families.Maintain RLM inventory and pre-prep RLM boxes in preparation for shipment.Assist Donor Family Advocates with mailing enclosure inventory, merging and printing monthly bulk mailing labels, and monthly donor family mailings in an urgent and timely manner.Preparing and keeping inventory of General Nursing Orientation (GNO) packets and pen bags. Other duties as assigned by Hospital Services department.Arrange for UPS, FedEx, USPS and occasional courier delivery.Monitor WRTC Contact email daily and forward emails to applicable WRTC Staff.Keeping inventory and placing orders for breakroom supplies (coffee, sugar, creamer, paper plates, cups etc.).Maintaining neatness and cleanliness at the front desk, reception area, conference rooms, coffee areas, and kitchen, this includes straightening, stocking coffee stations, wiping counters, cleaning out refrigerators and microwaves, and running/unloading the dishwasher.Maintain the fax machines including ordering supplies (maintaining stock of drums and toner), sending faxes upon request and distributing all incoming faxes in a timely fashion.Answering emails timely and professionally, monthly mailings, bulk mailing tasks and other administrative duties as assigned.Assist in meeting and conference activities including confirmation calls and preparing materials.Assist, upon request of the office manager, all WRTC personnel in any projects or assignments related to organizational business.BENEFITS:We are in a beautiful office located in Falls Church, VA.
