Team work and collaboration are instrumental to the success of our communities, and in this role you will work with the internal leadership team, including our Health Services Director, and our external partners to oversee and guarantee that our Assisted Living resident's needs are not only met, but delivered with vibrancy. Our main office is located in Highlandtown area of East Baltimore; however, our facilities are scattered throughout the city in various low income neighborhoods. Our residential facilities provide housing and supportive services to low income, chronically homeless, mentally ill Marylanders. All of our clients are ambulatory. Many require meal service, supervision, cue/coach, medication administration. We house approximately 300 residents over 15 facilities. The assisted living manager oversees supportive housing services at all of those facilities. SUMMARY OF POSITION RESPONSIBILITIES: In this role, you will select, build, coach and supervise a team of passionate, engaging and high quality Maintenance Technicians, Support Staff, Medication Technicians (MedTechs), Direct Care Staff (DCS), Food Service Staff and Resident Assistants ( RA's) who are responsible for providing both the Instrumental Activities of Daily Living (IADLs) and the Assisted Daily Living Services (ADL's) to our residents. Through your leadership, you will hold the team accountable for meeting all mission, quality, safety and other performance standards. You will also develop, monitor, and adjust work schedules to ensure adequate staffing to meet our HolBrock service standards and budget, conduct routine rounds of the community, participate in initial and ongoing resident assessments to help identify needs and changes in condition, assist in the development of the Resident Services Plan, participate in regular resident and family meetings, and help conduct new hire training and monthly in-service trainings. This is a critical role within the HolBrock community leadership team, and allows for the opportunity to create a dramatic and positive impact on our residents' ability to live an active, vibrant life! You are required to have an understanding of COMAR as it relates to assisted living and primary role is to ensure the housing operations meet this standard at all times. You will be responsible for responding to state surveys and facilitating access to surveys/inspections from external agencies. With our residents in mind, the right candidate will have: Bachelor's Degree in a health care, social science, or business discipline and a minimum of three years' experience working in a health care, senior living, or strong service environment; or equivalent combination of education and experience. Degree preferred. *Must have 80 hour ALM certification. *Must have Med Tech certification. *We prefer that you have a license or certification in mental health/addictions field. Minimum of two years' experience in a supervisory role, preferably in a 24 x 7 environment. Ability to lead, direct, and motivate others to innovate and excel. Ability to work in a fast paced environment with multiple competing demands for time and attention. Excellent verbal communication skills with the ability to interact, in English, with a diverse group of associates, residents and family members. Ability to apply reason, logic, and advanced problem solving skills to resolve complex and/or sensitive issues. Excellent written communication skills including proper grammar and professional writing. Ability to read at a level to understand care notes and written directives of medical practitioners. Strong computer and keyboarding skills with proficiency in Microsoft Word and Excel and the ability to quickly master new applications. Positive attitude, enthusiasm and energy. Understand the role of the Assisted Living Manager Housing & Facilities Services Manager and be prepared to assume the role in the absence of the Assisted Living Manager Housing & Facilities Services Manager. Using the facility check list as a guide, in collaboration with other AALMs, ensure all facilities remain compliant with all applicable city and state permits / certifications / licenses: Inspect facilities on a weekly basis and complete the checklist during the inspection. Upon completion of inspections, abate any issues within your scope. For issues beyond your scope, issue work orders to maintenance staff and directives to care giving staff. Verify all work orders and directive complete within the designated time frames. Copy CEO, COO and ALM on work orders / directives issued and report progress. Maintain and follow up facility maintenance requests, verify completion, document in Buildium Maintain completed facility checklists, work orders and directives on file to be inspected by the Company as a verification of service rendition. Have knowledge of Policies and Procedures of Holbrock Estates Supportive Housing / Freedom Healthcare. Maintain a working knowledge of COMAR as it pertains to assisted living and other residential regulations within the scope of services rendered by the company. In accordance with the staffing schedule issued by the ALM, during your duty time, ensure that all locations are staffed as appropriate with the assigned Direct Care Staff (DCS), Certified Nurses Assistant (CNA), Certified Medication Technician (CMT), Direct Support Worker (DSW), dietary staff and maintenance staff. When a shift is uncovered call in a Company contracted staff person to fulfil the duties for the service period and notify the CEO, COO, ALM, contract manager and pay coordinator of the change via email. Monitor staff while on duty and ensure staff are rendering services appropriately as assigned. Assist the ALM in developing the staffing schedule weekly. Maintain communication regarding staff and client issues by assisting or notifying Supportive Housing manager or proper Administrator for assistance. Check emails and company group texts at least every 30 minutes while on duty; respond accordingly. Maintain quality of service as directed by policies and procedures of Freedom Healthcare System / Holbrock Estates Assisted Living by monitoring staff during your duty period. Assist the ALM, CEO, COO and/or contract manager with other services as requested / directed. Report to the ALM, CEO, COO, contract manager via email when starting and ending shift. Collaborate with incoming / off going AALM at the end / beginning of each shift. Document the collaboration using end of shift report via email to the AALM, ALM, CEO, COO. Submit bi-weekly invoices for services rendered to the Company by 11:00 PM on the Sunday immediately before the Friday check run day. Invoices for services rendered should be emailed to the CEO, COO, ALM, contract manager, pay coordinator and productivity analyst. The Company will not pay for invoices which are: Not complete or detailed, Not in the format acceptable by the Company, Does not accurately reflect the work performed or services rendered, Services that the Company is unable to verify. Ensure the contract manager has valid unexpired contract vetting requirements on file with the Company at all times. Participate in external and internal audits/surveys (CARF/CSA/OHCQ) as directed by supervisor. Participates in quality assurance and performance improvement plans by completing periodic audits or other activities to ensure regulatory compliance and/or improve service delivery. Collaborate with and serve as program POC for external treatment providers and outside agencies as needed. Responsible for following regulations of COMAR, CARF, any other regulatory body, and company policies/ procedures related to service delivery and documentation. Support the maintenance of a safe environment by participating in drills as requested. Advise the supervisor on the development and implementation of protocols to better enhance the efficiency of day to day operations effecting change when approvals are made. Troubleshoot and abate any issues that could adversely affect the day-to-day operations. Report to the Supervisor daily and as requested. Report deviation of operational standards to CEO daily. Collaborate with department leaders, external landlords, vendors, utilities providers, housing related external entities and supervisees regularly as needed.
