We are looking for three (3) Executive Assistant to perform a variety of administrative tasks and support Headquarters Air Force senior leaders. Executive Assistant's responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and have a knowledge and understanding of DoD and USAF roles and missions. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members. Duties: The purpose of this position is to provide secretariat support services to the Office of the Deputy Under Secretary of the Air Force, International Affairs (SAF/IA) Front Office, Directorates, and Divisions. Manage and maintain calendars for SAF/IA senior leaders. The contractor shall plan, coordinate, and organize events, as directed by the Government. The contractor shall secure facilities (on site and off site) prior to event by coordinating with the conference room coordinator or applicable office/agency Field calls and visitors to SAF/IA front office, directorates, and divisions. The contractor shall respond to telephone calls, take messages when appropriate, and direct callers or visitors to the appropriate government staffer. Prepare and develop correspondence, reports, memorandums, presentations, papers, ready- to-send (RTS) emails, and other forms of communication for distribution across the organization. The contractor will review all correspondence for accuracy, correctness, and conformance to procedural and regulatory requirements and instructions, as well as perform quality checks for grammar, typographical errors, and necessary attachments. Assist with video teleconferences (VTCs), SharePoint sites, and Air Force Portal page updates. The contractor will review the SAF/IA SharePoint and Air Force Portal pages monthly and update any outdated material. Monitor and track correspondence as required to ensure that all assigned suspense requirements are met. The contractor shall perform quality control reviews of all reports, papers, and other documents to ensure high quality correspondence. The contractor shall maintain files and records systems in accordance with approved guidelines. Manage the Task Management Tool (TMT). The contractor shall check TMT for new tasks daily and ensure new tasks are properly and timely assigned within 24 hours. Manage the Defense Travel System (DTS). The contractor shall use DTS as trained and directed to accomplish travel authorizations and vouchers. The contractor shall be familiar with the Joint Travel Regulations in order to provide assistance and support with travel arrangements. Shall prepare briefings, presentations, and discussion materials, as directed. The contractor shall provide the initial review, edits, and revisions to regional and country-specific "Country Papers", company-specific "Industry Papers", as well as talking points and senior leader discussion points. Assist with official organizational ceremonies and engagements, international and industry-specific presentations, international engagement and industry conference planning and preparations, preparations for country case program management reviews (PMR), preparations for the SAF/IA annual and quarterly recognition awards, as well as general meeting and engagement scheduling, and organization-wide data requests. Efficiently and effectively work with any version of the Microsoft Office Suite software applications in day-to-day administrative duties, including Microsoft Word, Excel, Outlook, PowerPoint, OneNote, Access, and Microsoft Teams. Read, write, and communicate professionally and effectively across the civilian and military spectrum from the Action Officer to the General Officer/Flag Officer. Qualifications: Active Secret Clearance Must have a bachelor's degree in International Affairs, Business Administration, Business Management, Office Management, or a similar field of study. Minimum of three (3) years' professional experience with demonstrated effectiveness and success at DoD Headquarters, Headquarters Air Force (HAF), or the Federal Government headquarters staff level. Must have a knowledge and understanding of DoD and USAF roles, missions, and customs and courtesies. Working knowledge of Defense Travel System (DTS). Working knowledge of the USAF Task Management Tool (TMT).
