Duties

  • Serves as a secretary and principal office assistant to an organization with a senior executive level officials and numerous of high ranking civilian officials.
  • Receives office visitors and answer incoming telephone calls to eliminate interruption of Chiefs and managers.
  • For incoming calls, determines the need for referral to the chief or refer to other personnel /offices for action.
  • Reads incoming mail for information and to ascertain any action required.
  • Maintains record of pending actions and follows up to keep abreast of status and ensure timely accomplishment.
  • Reviews correspondence material prepared by various office and branch personnel.
  • Makes minor corrections, calls other discrepancies to the attention of the originator or program manage/action officer.
  • Performs word processing, receipt/transmit of electronic mail and to set up and maintain a variety of databases in support of various office functions.
  • Serves as the travel liaison with regards to completing travel orders, vouchers and other functions of managing the travel program within the organization.
  • Makes travel arrangements accommodations (transportation and lodging) for officials.
  • Determines the need for establishing and maintaining a variety of subject matter files, regulatory and guidance material, and publications.
  • Serves as the official timekeeper for the office.
  • Locates, assembles, summarizes, and analyzes a variety of subject material for use by Chief, and action officers.

In order to qualify, you must meet the experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Your resume must clearly describe your relevant experience; if qualifying based on education, your transcripts will be required as part of your application. Experience required at GS-06: To qualify based on your experience, your resume must describe at least one year of specialized experience which includes: creating and maintaining reports; maintaining a supervisor's calendar; composing and editing correspondence, answering incoming telephone calls; and communicating effectively both orally and in writing. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05).

Experience required at GS-07: To qualify based on your experience, your resume must describe at least one year of specialized experience which includes: providing a full range of administrative and clerical support work; reviewing, proofreading, and editing correspondence for final format; serving as an office timekeeper; coordinating official business travel to include, contracts, itineraries, vouchers, schedules, etc.; and operating office automation applications/software to perform word processing, receipt/transmit of electronic mail and maintaining databases in support of various office functions. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06).

Some federal jobs allow you to substitute your education for the required experience in order to qualify. For this job, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted.

Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent.

  • Male applicants born after December 31, 1959, must complete a Pre-Employment Certification Statement for Selective Service Registration.
