General Responsibilities We are seeking a temporary Administrative and Clerical assistant to provide support for the ongoing renovation/relocation project at the property; Ensure that residents receive courteous reception and services; Handle all incoming calls in a professional manner; Meet and greet all visitors and the general public; Assist Management Staff with special projects, administrative tasks and other non-property management related work. Essential Duties * Maintain professional and courteous relationships with other staff members, current and prospective residents, and suppliers, vendors and professionals servicing the company, * Act as receptionist for residents and visitors, * Answer, direct and return phone calls as necessary, * Take service requests, enter service requests into OneSite, close out service requests in OneSite, make follow-up courtesy calls to ensure service requests are completed to the residents satisfaction, enter follow-up notes into residents account in OneSite under Activity Log, * Type, distribute and file resident memos, renovation/relocation memos, other correspondence, and resident certification paperwork, * Schedule, coordinate and assist in preparation for renovation/relocation meetings and miscellaneous projects as directed, * Update and maintain all resident logbooks, phone lists, and emergency contact information, * Stay well-versed in company policies and procedures, * Take a lead role in understanding and updating all front desk emergency procedures and policies, as well as communicating any emergency policy changes to all other front desk employees, * Assist with processing and completing new applications and certification applications in property management software program (Onesite), * Contact waiting list applicants via mail when units become vacant or go on notice, * Create, complete, and close all maintenance tickets in property management software program (OneSite), * Assist with Semi-Annual residential unit housekeeping and maintenance inspections, * Manage office supply inventory by completing weekly inventory and recommending supply orders to Property Manager, * Ensure the safety, comfort, and privacy of all property residents. Strive for good resident/management relations to retain desirable residents, * Accurately complete assignments in a timely manner, * Perform any other duties which may be assigned by Property Manager and/or Regional Property Manager. Basic Qualifications Education/Training: A high school diploma or equivalent is required. Skill(s): Clearly communicates in English; proficient reading, writing, grammar, and mathematics skills in English; maintains confidentiality; demonstrates accuracy and thoroughness and monitors own work to ensure quality; proficient interpersonal relations and communicative skills; Works well in a team environment; Able to work with a diverse group of people; Appearance compatible with image of property, positive attitude and energetic; Demonstrates integrity on personal as well as professional level; Attention to detail; Knowledgeable of Fair Housing Rules & Regulations; Able to multi-task and prioritize to meet firm deadlines; proficient in Microsoft Office Suite. Experience: A minimum of two (2) years work-related experience.
