Fiscal CoordinatorDepartment of Bioengineering The George Mason University Department of Bioengineering, within the College of Engineering and Computing (CEC), seeks a motivated, critical thinker with outstanding communication and organizational skills for a Fiscal Coordinator position. About the Department:Mason's bioengineering department, https://bioengineering.gmu.edu, has 13 faculty members whose research can be divided into four pillars: biomedical imaging and devices, computational biomedicine, biomaterials and nanomedicine, and neurotechnology and computational neuroscience. Newly constructed research facilities in these focus areas opened in 2018. Bioengineering faculty research is funded by a number of federal agencies, including the National Institutes of Health, National Science Foundation, Department of Defense, and the United States Department of Veterans Affairs. These agencies and other sources bring the department's active research funding total to more than $20 million. Undergraduate enrollment in the thriving ABET-accredited undergraduate program totals more than 210 students. A relatively new, rapidly growing PhD program and a new master's program (launched in 2018) complete the academic offerings. The department has several growing partnerships with regional centers such as the Inova Center for Personalized Health (ICPH https://www.inova.org/inova-center-for-personalized-health), which includes the Center for Surgery and Bioengineering Research, and the Genomics and Bioinformatics Research Institute. About the Position:This position will work independently and collaboratively with the Department of Bioengineering's faculty, staff, and Lab Manager, the CEC Director of Finance, and other departments across the university as it relates to the position. The Fiscal Coordinator reports to the Chair of the Department of Bioengineering.Responsibilities:Under the direction of the department chair, this position is responsible for the daily coordination and execution of administrative and fiscal operations in support of the academic and research activities of the department, and ensuring that the service needs for both faculty and students are met. Key responsibilities include, but are not limited to: Fiscal Purchase for all BIOE labs to include instructional labs (13), make routine office supply purchases as directed;Make purchases using eVA and a purchase card;Maintain records of all purchases and allocate the purchases to Orgs/Funds associated with the department;In coordination with the Chair, manage the department budget and financial resources, to include monitoring the budget, reconciling approximately 20 department accounts, and resolving related budget issues; andIn coordination with the Chair, manage department's foundation accounts, to include tracking activity and account changes. AdministrativeIssue swipe and key access requests;Manage space and office needs for incoming faculty and other employees;Maintain faculty files and records consisting of official and confidential information;Initiate faculty travel authorizations and reimbursements to ensure forms are routed and approved in accordance with university policies;Assist the Administrative Assistant with department events;Provide administrative support to Chair, Associate Chair, and department;Must effectively handle multiple responsibilities simultaneously and meet deadlines, often under pressure, while maintaining flexibility regarding changes in priorities;Ensure compliance with State and GMU regulations and procedures on the above tasks; andManage daily office administration in collaboration with the Administrative Assistant. Required Qualifications:Bachelor's degree in a related field; or a combination of education and experience in fiscal matters;Considerable (typically 3+ years) administrative experience;Ability to take initiative and complete projects and/or assignments with minimal supervision;Experience with financial processes to include purchase requisitions, budgeting, travel reimbursements, and account reconciliation;Proficiency with Microsoft Office Suite software, including word processing, spreadsheets, and e-mail applications;Demonstrated ability to learn and utilize new computer applications and electronic systems for accounting, travel, room booking, workflow, scheduling, etc.;Exceptional verbal and written communication skills and strong organizational abilities; Ability to interpret and apply policies, procedures and guidelines to office work;Strong customer service skills, diplomacy skills, and the ability to work with a wide range of constituencies in a diverse community;Ability to analyze and solve problems, effectively prioritize tasks, take initiative, and work independently; andDemonstrated experience in coordinating and planning events.Preferred Qualifications:Completion of advanced course work past the Bachelor's degree;Experience with budget analysis;Three years of relevant experience with fiscal and human resources responsibilities;Knowledge of university procedures, policies, regulations, and systems;Familiarity with higher education environment;Knowledge and experience with eVA;Demonstrated experience in a customer service position and demonstrated office experience; and Openness to constructive feedback.A Force for Innovation in the Heart of Northern Virginia's Technology CorridorThe College of Engineering and Computing (CEC) at George Mason University is comprised of the Volgenau School of Engineering and a new School of Computing.
