Duties

WHILE THE DEPARTMENT OF JUSTICE OFFICE OF THE INSPECTOR GENERAL IS CURRENTLY SERVICING FROM A 100% TELEWORK POSTURE DUE TO THE COVID-19 PANDEMIC - THIS POSITION WILL REQUIRE THE INCUMBENT TO REPORT TO THE OFFICE APPROXIMATELY 1 - 2 DAYS PER WEEK.

This position is in the Immediate Office (IO) located in Washington, DC, under the Investigations Division.


If you are selected as an Administrative Management Specialist, your responsibilities would include, but would not be limited to:
  • Coordinates, analyzes, and evaluates administrative missions and operations of the office relating to procurement and contracting administration. Coordinates with other division to award contracts; provide guidance to managers on the process of reviewing procurement actions; and over see accurate and timely responses to the Division in the dissemination of supplies and equipment.
  • Participated in the implementation of the Division's financial management decisions; tracks various headquarter and field expenditures; and reconciles expenditures against UNIFIED reports.
  • Actively participates in staff and/or management level meetings and discussions pertaining to the activities encompassed in the administrative and management functions of the Division; supports planning and execution of staffing, recruitment, performance management, and award issues.
  • Prepares letters, reports, and briefings which represent the Division's views and Agency policies. Responds to data calls for dissemination to the field and assumes responsibility for preparing responses for submission to the appropriate OIG Division or Office.
  • Oversee transcription and translation program; work with the Office of Security Programs to have transcribers approved, addressing timeliness and delivery issues, providing guidance and policy changes to the Division.
  • Coordinates administrative matters related to the Division including those related to personnel matters, Human Resource Programs, small expenditures via the purchase card program, and safety and health.
  • Responsible for property management for the Division and coordinates with the Office of Management and Planning on acquisition, disposition, reporting, transfer and inventory of all accountable Division property.

Qualifications

To qualify for this position at the GS-12 grade level, you must have one year of specialized experience equivalent to the GS-11 grade level obtained in the public sector. (Specialized experience is paid or unpaid experience which has equipped you with the specific knowledge, skills, and abilities to successfully perform the duties of the position.) Examples of specialized experience include such duties as: providing administrative support for a division; managing multiple programs; preparing and/or reviewing written correspondence; coordinating, analyzing, and evaluating administrative duties; preparing briefings, agendas, presentations, and other high-level documents in support of assigned projects; developing and maintaining professional relationships with internal staff, leadership, stakeholders and customers; and knowledge of administrative practices, methods, and techniques to provide liaison services for procurement and contracting, supplies, property and office moves.

To qualify for this position at the GS-12 grade level, you must have one year of specialized experience equivalent to the GS-11 grade level obtained in the public sector. (Specialized experience is paid or unpaid experience which has equipped you with the specific knowledge, skills, and abilities to successfully perform the duties of the position.) Examples of specialized experience include such duties as:
  • Assisting in the development of the Division's administrative and personnel policies or procedures;
  • Performing personnel functions such as staffing, recruitment, and placement;
  • Reviewing and analyzing data needed to forecast funding for assigned budgets of an organization; AND
  • Assisting in reviewing and evaluating administrative and financial programs and procedures to identify weaknesses or deficiencies and recommend solutions.
Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade level (or equivalent).
