Do you have customer service experience in a high-volume environment and a willingness to help others who are seeking services within the Department of Human Services?

Arlington County's Behavioral Healthcare Division (BHD) is seeking an energetic and friendly Customer Service Representative to join our dynamic team! BHD provides adult outpatient mental health and substance use services that are comprehensive, coordinated, recovery-oriented and community-based. BHD strives to deliver high-quality, fully-accessible and responsive services. The employee will serve a culturally and ethnically diverse population, including many who speak Spanish as their primary language. The team of Customer Service Representatives (CSRs) are the "front door" of the Division, serving as the first point of contact for internal and external customers. A successful customer service background and the ability to work in a fast-paced environment while maintaining a professional demeanor and accuracy is required in this position.

Major Duties Include:

  • Providing front desk reception with quality customer service to both clients and colleagues by routing phone calls and determining the reason for walk-in visits;
  • Providing clients with the intake packet, explaining the forms, checking for completion, and then entering the information in the Electronic Health Record system;
  • Utilizing the Electronic Health Record system to check in clients for appointments and to verify and update their personal and payment information;
  • Collecting information and payment from clients, providing receipts and reconciling receipts and cash received;
  • Scanning, indexing, and processing releases as part of the medical records team;
  • Scheduling and rescheduling of appointments for providers; and
  • Providing support functions such as photocopying, handling/delivering mail, delivering faxes, making room reservations, collating projects, utilizing Microsoft Office, etc. in an accurate and timely manner.

Selection Criteria
Minimum:
  • High school diploma or the equivalent;
  • At least two years of experience performing progressively responsible administrative support functions such as creating reports, maintaining multiple electronic systems, and providing direct customer service including working with the public both in person and over the phone and completing cash transactions; and
  • Bilingual in English and Spanish.
Substitution: Successful completion of college coursework from an accredited college or university may be substituted for up to one year of the experience requirement based on the following:

  • One year (30 semester hours or 45 quarter hours) is equal to six months of experience.
Desirables: Candidates with experience in one or more of the following may receive preference:
  • Using an Electronic Health Record (EHR);
  • Microsoft Office Suite;
  • Processing financial transaction reconciliation and medical records; and
  • Serving people with disabilities and / or substance use disorders.
