Duties

CSO is seeking a self-motivated Staff Assistant to provide a full range of high-level administrative, business, and communications support for all staff and programs in the office. The incumbent will report directly to the Chief, Business Support Division and is responsible for providing administrative and technical support for CSO. The ideal candidate must have extensive experience working with and using the various software applications utilized in an Office 365 environment (e.g., Microsoft Word, Excel, Power Point, and Share Point) to compile correspondence, reports, tables, charts, and graphs, as well as presentation materials.

The duties of this position include, but are not limited to:
  • Providing highly specialized administrative and technical support work for the entire CSO, such as correspondence and documentation preparation, coordination, and tracking; scheduling, coordinating logistics, and setup of meetings; travel planning and voucher processing; timekeeping functions; and performing reception duties.
  • Creating and maintaining systems, processes, and policies for administration functions within CSO.
  • Collecting, assembling, and summarizing information for use by the Chief and other management within CSO.
  • Preparing, proofing, and formatting correspondence, reports, meeting minutes, and other documents in accordance with AO policies and procedures. Correspondence may include sensitive information.
  • Reviewing incoming mail, email, and other documents/correspondence, and ensuring proper routing to Chief or other CSO staff.
  • Answering CSO's main telephone line and providing direct customer service or routing to other staff for action.
  • Maintaining various office-wide calendars in an electronic format, including staff work schedules and meetings; submitting relevant events to the AO-wide events calendar.
  • Organizing and maintaining electronic and paper office files.
  • Maintaining office supplies inventory; placing and expediting orders for supplies; verifying receipt of supplies.
  • Performing special projects/tasks, as needed.

  • If appointed to a temporary position, management may have the discretion of converting the position to permanent depending upon funding and staffing allocation.


  • Qualifications

    Applicants must have demonstrated experience as listed below. This requirement is according to the AO Classification, Compensation, and Recruitment Systems which include interpretive guidance and reference to the OPM Operating Manual for Qualification Standards for General Schedule Positions.

    Specialized Experience : Applicants must have at least one full year (52 weeks) of specialized experience which is in or directly related to the line of work of this position. Specialized experience is demonstrated experience, knowledge, and understanding of administrative and office management techniques, management principles and practices; providing high-level administrative assistance to executive managers; and extensive experience working with and using the various software applications utilized in an Office 365 environment (e.g., Microsoft Word, Excel, Power Point, and Share Point).
