Reporting to the Controller, the Accounts Payable Specialist contributes to the overall success of the organization by effectively performing all accounts payable functions for our client, a privately-held and growing company in Annapolis, MD. This is a brand new role as the company is growing tremendously! Responsibilities include but are not limited to accounts payable, vendor management, and overall finance administration. The Accounts Payable Specialist is also responsible for maintaining accurate historical records and confidentiality of organizational information in all accounting and finance-related tasks. Ability to grow within the department and build out the AP process Responsibilities Ensure invoices are obtained, approved, coded, and entered for payment in a timely manner and according to contract. Match invoices to purchase orders, packing slips, etc. as applicable. Confirm any changes in terms, contact information, discounts, etc. with internal and external teams. Track employee expenses and process all expense reimbursements according to company policy. Prepare and perform weekly check runs; utilize electronic billing and payments as appropriate. Research and resolve invoice and payment discrepancies. Handle the customer service needs of internal business partners and external customers. Ensure vendor files are organized, complete, and up to date. Track all pertinent vendor information, including contact information, contract expiration, insurance coverage status, etc. Assist in year-end tax procedures, including vendor scrubs, W-9 collections, and filing of 1099s. Accurately execute daily processes and controls in a timely manner while ensuring company policies are adhered to. Handle administrative tasks for the Finance department. Perform other accounting ad hoc reporting as assigned. Other duties as assigned. Qualifications 2+ years of recent related experience. AA or BS/BA degree in Accounting, Business or similar preferred.
