Duties

This position is not eligible for permanent remote telework.

The position is responsible for providing project and program support and office management activities for the section. Additionally, the position will provide minimal administrative support for the section, in conjunction with the division Administrative Officer. The Program Support Assistant provides support to technical staff, and performs a variety of both technical and routine administrative and analytical duties.

Assists Music Specialists and Archivists in the preparation of various program documents and correspondence such as licensing agreements, permissions contracts, action memos, and waivers, ensuring that all documentation is complete and in compliance with the Library's rules, regulations, and standards.

Maintains/or provides assistance with administrative and financial tracking systems, and assists in the design and maintenance of spreadsheets and databases to support these systems.

Researches, plans, analyzes, and organizes technical and/or statistical information and develops data for use in briefings, publications, and reports. Assists in the preparation and coordination of exhibits.

Systematically evaluates and improves office operations for an extensive organization with varying functions performed in the section. Uses formal procedures to track the coordination of work performed outside of the organization.

Schedules meetings and appointments without prior approval. On own initiative and discretion, arranges for representation by a subordinate official when that is desirable. Independently determines which staff members should attend meetings or represent the organization at conferences, based on the supervisor's view of such issues. Attends meetings, notes commitments made, informs staff of commitments, and arranges for staff to follow through on implementation. Arranges meeting space, speakers, and support details for large conferences.

Takes meeting notes and distributes information to staff.

Coordinates acquisitions and conference travel. Arranges hotel accommodations, coordinates transportation to and from the meeting site, and establishes social arrangements.

Creates and maintains office databases tracking administrative and functional responsibilities of the section. In consultation and collaboration with Administrative Officer, maintains and reviews information within Human Resources Information Systems (HRIS) to provide management with administrative updates on pending actions until completion. Initiates actions and requests in the agency financial systems as needed.

Qualifications

Applicants must have had progressively responsible experience and training sufficient in scope and quality to furnish them with an acceptable level of the following knowledge, skills, and abilities to perform the duties of the position without more than normal supervision.

Ability to perform office coordination activities.**

Ability to plan, prioritize, organize, and execute work.

Ability to interact and collaboratively work with others.

Ability to communicate effectively other than in writing.

This job does not have an education qualification requirement.

Although it is the Library's policy to afford the maximum pay benefit to employees when setting rates of pay, a new appointee who has had no previous Federal service will generally be paid the minimum step of the grade.
