Primary Purpose

The Associate Project Manager for Corporate Initiatives is responsible for the project development life cycle for various organizational initiatives, some of which are listed in the Emmes Strategic Scorecard. The person in this role will also work closely with members of the Executive and Operations Team, who serve as Executive Sponsors of initiatives. This position is expected to hold information confidential and act as a trusted confidant of Executives.

The Associate Project Manager will manage all aspects of initiatives of varying complexity and small to medium size by assembling work groups, assigning individual responsibilities, identifying needed resources, developing schedules to ensure timely project completion, identifying critical capabilities, project resources, budgets, risks and critical path issues. The Associate Project Manager may also assist Project Managers on large and highly complex strategic initiatives.

  • Manage overall direction, planning, coordination, implementation, execution, control and completion of one or more Level 1 corporate and department initiatives across global teams supporting enterprise systems and processes for clinical trials
  • Partner with business leaders to ensure alignment of initiatives with business and corporate strategies, develop business case, and conduct technology needs assessment including acquisition, planning, budget, resource, and demand forecasting
  • Manage and direct the day-to-day activities of Level 1 initiatives including working with executive owners, executive sponsors, and project managers to assign resources, maintain project and communication plans, ensure appropriate scope and deliverables, provide initiative framework and artifacts, identify obstacles, mitigate risks, and monitor and provide updates on progress and health using variety of tools and mechanisms
  • Manage multiple initiative teams through the entire Project Development Life Cycle
  • Monitor Level 1 or assist with monitoring of Level 2 initiatives to ensure initiative framework processes are being followed and project management best practices are being used, including reporting on metrics related to initiative health, completion of milestones on time and within budget, and adoption of effective change management processes.
  • Coordinate tasks and communication within and across teams, and develop presentation materials for projects and executives
  • Provide an extremely high level of customer service to stakeholders
  • Manage a highly complex business calendar with a keen sense of prioritization and time management to ensure maximum effectiveness of time
  • Develop and maintain initiative and technical documentation in coordination with initiative team, ensure completeness and accuracy with procedures, polices and best practices
  • Facilitate or lead workshops to develop efficient and effective future state workflows to streamline business processes by leveraging or recommending appropriate tools and technologies
  • Serve as a change agent champion and lead the development and execution of change management plan, communication plan, training execution, and rollout of technologies and new business processes
  • Compile and provide monthly status reports, KPIs and metrics across supported projects to executive sponsors, stakeholders, and peers, including key updates, cost, schedule, status and risks
  • Exercise independent discretion and judgment to solve complex problems regarding project, department, or division-related work
  • Promote, develop, and maintain disciplined PMO-CI project management models and frameworks (and related tools and processes) across Emmes and its subsidiaries; ensure adherence, adoption, implementation and review of lessons learned.
  • Initiate and share learning opportunities for the PMO-CI team to continue to grow as professionals.
  • Other duties as assigned

  • Undergraduate degree in business or humanities field preferred
  • 1 to 3 years' experience in a project management related role preferred
  • CAPM or equivalent certification and a proven track record of successfully managing projects in a fast paced business preferred - Willingness to get CAPM required
  • Experience explaining technical terms to non-technical staff
  • Familiarity with Office 365 products
  • Experience building customer and stakeholder relationships with a focus on problem resolution
  • Exceptional project management skills with ability to multitask and manage multiple projects across diverse global teams in a highly matrixed environment
  • Demonstrated planning and project management skills
  • Excellent listening, communication, presentation, interpersonal skills, both written and verbal, with an ability to inform, influence, convince and persuade
  • Strong skills in prioritization, organization, decision-making, time management, and planning
  • Ability to drive to tangible results in a timely manner even when the work involves a high-level of ambiguity
  • Skilled in facilitating meetings with multiple stakeholders, including building consensus, motivation, and managing conflict
  • Strong analytical, problem-solving, and troubleshooting skills; with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy
  • Ability to demonstrate strategic thinking capability, exercise good judgement, make sound decisions, and escalate issues / decision making as appropriate
  • Knowledge of technology concepts including SDLC, process improvement, and agile methodologies is preferred
