Westat has an immediate opening for an hourly admin assistant to provide logistical and technical support for virtual meetings. 
  • Meetings
    •  Create, schedule, and host Zoom meetings in collaboration with the client and client partners
      • Coordinate with clients and partners to schedule meetings
      • Solicit input for and format meeting agendas
      • Start webinar/meeting, manage participants and panelists, share and advance slides, troubleshoot/provide technical assistance to participants, etc.
      • Create and manage polls/surveys
      • Create and manage breakout rooms
      • Communicate with clients and panelists during the webinar/meeting
      • Capture meeting notes and action items
    • Create post-webinar/meeting reports (attendance, Q&A, polls & surveys)
      • Download recordings, chat, and transcript
      • Assist with follow-up communications with panelist and participants
  • Other Support
    • Maintain a shared Google Drive space in collaboration with other clients and partners
    • Support logistics for in-person meetings/conferences (e.g., shipping, exhibiting, etc.)
    • Maintain spreadsheets and calendars for various projects 
    • Create and manage general business correspondence (emails, letters, etc.)
    • Other support duties as assigned

Required Qualifications
  • Knowledge of and experience using webinar/meeting platforms (Teams, Zoom, other)
  • Knowledge of and experience using Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • High school diploma and 3+ years of experience in an executive administrative support position
  • Must have excellent attention to detail
  • Must be able to communicate in an effective and professional manner both orally and in writing

 Preferred Qualifications
  • Knowledge of and experience using Smartsheet

These assignments are temporary hourly positions. Benefits are based on hours worked and tenure.
