The Washington Metropolitan Area Transit Authority (WMATA) Occupational Health and Wellness (OHAW) Department is seeking an experienced Occupational Health Scheduler who will be responsible for providing comprehensive administrative support to OHAW's Clinical Services Program. Responsibilities include scheduling, coordinating and tracking patient visits to OHAW, and all 3rd party vendors to include but not limited to DOT and Return to Work physicals, Drug & Alcohol screenings, Fit for Duty exams and Safety Sensitive exams via telephone, email, scheduling software, Excel Spreadsheets and in-person. The ideal candidate will be proactive, have excellent interpersonal skills, work independently, be customer focused, responsive, and will be able to exercise discretion and composure in a complex occupational health setting. This role is critical to OHAW daily operations and requires a dependable and highly organized individual who communicates effectively, is an adept problem-solver, and skilled multitasker. Previous medical office experience is preferred along with the knowledge of HIPAA and OSHA regulations. Please note, this positions is located in our office space in Landover, MD - Professional Place Office Building.

Minimum one (1) year medical services administration and/or office administrative experience

The Occupational Health Scheduler supports the Occupational Health & Wellness (OHAW) department. The incumbent is a multi-skilled administrative professional who works independently and with other health care professionals to provide quality health care support to the employees. The Occupational Health Scheduler performs administrative functions in the medical care environment to include organizing the scheduling of medical visits for WMATA employees.

  • Schedules, coordinates and tracks patient visits to OHAW, and all 3rd party vendors to include but not limited to DOT and Return to Work physicals, Drug & Alcohol screenings, Fit for Duty exams, Safety Sensitive exams, etc. Ensures WMATA employees are scheduled in a timely manner for all necessary medical visits. Maintains all appointment scheduling via Microsoft Outlook, SharePoint, ServiceNow and other electronic medical software.
  • Answers phone calls and emails, greets patients upon arrival; reminds patients of upcoming appointments; and ensure they are prepared with the necessary documentation required for visits.
  • Liaise and coordinates any changes with divisions, MTPD, talent acquisition and WMATA leadership regarding Occupational Health and Wellness and 3rd party vendor schedules.
  • Works with clinical leadership to identify gaps in scheduling and offer ideas to implement changes to clinical scheduling processes to accommodate patient access to appointments when needed.
  • Works with WMATA Business stakeholders to schedule employee visits when appropriate. The incumbent assists Clinicians in returning employees to work in a timely manner.
  • Maintains confidentiality of all files/records, and information specific to employees and applicants seen at OHAW and with all 3rd party vendors to ensure all PHI is kept confidential in accordance with HIPAA guidelines.

  • Retrieves and files charts in accordance with OHAW policies to maintain standardization of all employee medical files.
