Administrative and Program SpecialistGeorge Mason University's Office of Faculty Affairs and Development is seeking an enthusiastic, customer-focused, and detail-oriented Administrative and Program Specialist to support the Vice Provost for Faculty Affairs and Development. Responsibilities: This position will report to the Vice Provost for Faculty Affairs and Development. The incumbent's primary duties entail a diverse range of administrative office support and program responsibilities including, but not limited to:Managing the schedule/calendar (meetings, events, travel and office time) for the Vice Provost for Faculty Affairs and Development;Providing high-quality general administrative support to Faculty Affairs and Development;Overseeing and managing communications and support (electronic, paper, and web-based) for initiatives, events, awards processes, various university committees/task forces, and collaborative projects;Providing coordination, support, and oversight for events and special projects (e.g., new faculty orientations, community forums or town halls for university-wide working groups, other programs, etc.);Performing routine office management (e.g., answering phones and directing queries, managing electronic communication, managing files and databases, and maintaining confidential files);Providing support for new hires, including oversight of searches (e.g., communications, coordinating candidate schedules, travel) and onboarding;Purchasing according to university guidelines, overseeing P-card management, and processing faculty special payments and HR recognition; andWorking in collaboration with other administrative staff at Mason to support key initiatives.Required Qualifications: A bachelor's degree, or equivalent combination of education and experience, is required;Detail-oriented with the ability to manage and prioritize multiple projects simultaneously;Strong written (writing and editing) and oral communication skills;Proficiency in the Microsoft Office suite (e.g., Word, Excel, PowerPoint, Outlook, Access) and with using web-conferencing software (e.g., Zoom, MS Teams);Experience with website management (e.g., WordPress, Drupal, and/or html);Experience communicating and interacting with constituents across levels of an organization;Experience with calendar management; andAbility to work independently, take initiative, and collaborate in a strong team environment.Successful applicants will have demonstrated abilities to exercise independent judgement, take initiative, and exhibit curiosity and a willingness to learn. Experience working in a fast-paced office setting will be an asset. Preferred Qualifications:Knowledge of Blackboard, MS Teams, and/or other collaborative working tools;Design experience (e.g., brochures, programs, and other materials) using Adobe suite a plus; andExperience in a higher education setting.
