Job Description:

This position was established to provide a wide variety of complex and confidential administrative support to the Chief of Teaching, Learning, and Leadership. Such support includes the following array of duties: organizes, manages, and oversees the Chief of Teaching, Learning, and Leaderships' schedule and budget. Prepares various presentations for the Chief, as requested, or, at times as appears necessary. Drafts correspondence for the Chief of Teaching, Learning, and Leadership. The position's responsibilities extend to being privy to very high levels of confidential matters __- both orally, as communicated to and from the Chief of Teaching, Learning, and Leadership, and in correspondence and reports. The position interacts with the highest levels of school administrators. The position functions as an Executive Administrative Assistant to the Chief of Teaching, Learning, and Leadership.

Qualifications:

Education: Bachelor's degree in job-related area.

Experience: Minimum 3 years of job-related work experience.

Essential Functions:
  • Manages budget for Chief of Teaching, Learning, and Leadership (including travel reimbursement, ordering of materials and supplies, and other items as requested by the Chief of Teaching, Learning, and Leadership)
  • Coordinates meetings and activities in support of assigned administrative personnel's operational activities.
  • Evaluates interactions, situations and events (e.g. involving other staff, students, parents, the public, etc.) and takes appropriate actions and/or directs to appropriate personnel for resolution.
  • Maintains a wide variety of confidential files and records (manual/computer; confidential/non-confidential) (e.g. budget, purchase orders, payroll, etc.) to provide documentation in accordance with administrative and legal requirements.
  • Develops, disseminates, and maintains standards for Department memos, PowerPoints, agendas, project plans, newsletters, flyers etc.
  • Monitors project management oversight team (PMOT) process.
  • Provides guidance and support to the reception position, manages temporary help requests, and maintains relationships with a staffing agency.
  • Prepares a wide variety of written materials (e.g. Board Summaries, PowerPoints, reports, memos, letters, financial information, minutes, etc.) to document activities, provide written reference and/or convey information.
  • Researches a wide variety of topics (e.g. current practices, policies, education codes, etc.) to provide information for addressing a variety of administrative requirements.
  • Responds to a wide variety of inquiries from internal and external parties (e.g. staff, parents, students, public agencies, etc.) to provide information, facilitate communication among parties and/or provide direction.
  • Serves as a resource to other support staff to provide direction and/or technical support with assignments.
  • Relieves assigned Chief of Teaching, Learning, and Leadership of delegated administrative tasks.
  • Attends meetings and workshops to record events, convey and/or receive information.
  • Oversees and coordinates Department gatherings, events, and activities.
  • Assists other personnel as may be required to ensure an efficient and effective work environment.
  • Performs other duties as assigned by the Chief of Teaching, Learning, and Leadership.

Clearances:
  • Criminal Justice Fingerprint/Background Clearance.
  • Tuberculosis Skin Test.

Public Health Compliance
  • Proof of COVID vaccination. Exemptions for religious/medical will be reviewed.
  • Must follow safety and health protocols.
