Administrative and Special Projects Coordinator

This position will be responsible for the coordination of major projects in the Advanced Cyberinfrastructure and Internet Global Services (ACIGS) Assistant Vice President/Chief Technology Officer’s (AVP/CTO) office. Duties will include day-to-day office management, meeting scheduling/calendar management, and travel arrangements. The position will have the primary responsibility for facilitating project management in terms of project record keeping and follow-up, and will also be responsible for compiling meeting minutes and project status/action reports, facilitating end-of-year project status assessments and managing the administrative coordination of fiscal year planning. This position will also provide overall coordination for board meetings and other high-level meetings and retreats. Other duties will include event planning for ACIGS events, and writing press releases and articles for publication in campus and external newsletters.


Minimum qualifications

EDUCATION AND EXPERIENCE
 
Bachelor’s degree from an accredited college or university in communications, marketing or a related field; or an equivalent combination of education and experience.
 
AND
 
1 – 3 years of experience in office support planning and coordination.
 
KNOWLEDGE, SKILLS AND ABILITIES
 
-Knowledge of office practices and procedures.
-Knowledge of and skill in the use of common word processing, spreadsheet, presentation and calendaring programs/software such as Microsoft Word, Excel, PowerPoint and Google Calendar.
-Ability to manage multiple projects simultaneously.
-Ability to communicate effectively, orally and in writing.
-Ability to coordinate and schedule meetings, events and related activities.
-Ability to accurately compose a variety of correspondence, reports and minutes.
-Ability to maintain confidentiality of sensitive business matters and exercise discretion in handling confidential information.
-Excellent organizational skills.
-Ability to motivate self and take initiative.
-Ability to pay attention to detail.

Preferences

Knowledge of information technology and the networking service environment is strongly desirable.

Physical demands: sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Must have the ability to walk short distances.
