Operations Coordinator

The George Mason University Office of University Advancement and Alumni Relations is seeking an Operations Coordinator. Reporting to the Advancement Operations Manager, the Operations Coordinator will be an integral member of the Advancement and Alumni Relations Business Office.

About the Position:

The Operations Coordinator is responsible for managing many of the day-to-day administrative and organizational activities. The position professionally represents the Advancement Office to all constituents and provides administrative support to the Operations team in a fast-paced environment.

About the Department:


The Office of Advancement and Alumni Relations is responsible for all aspects of fundraising for George Mason University which includes the successful discovery, cultivation, solicitation, and stewardship of all donors. Advancement's mission is to build strong, lifelong relationships with George Mason University's alumni and constituents, while matching their philanthropic interests with the university aspirations and priorities. The division is committed to serving the needs of the university, our alumni, and the greater community by providing access to quality education and lifelong learning. Responsibilities:


  • Acts as a first point of contact for the office;
  • Answers a multiple-line phone, properly directing inquiries about the division;
  • Assists with recruitment, acquisition, and retention;
  • Assists with the administrative tasks associated with onboarding of new hires employees within the division;
  • Schedules and coordinates required department trainings, anticipating/preparing necessary materials and arrangements;
  • Responsible for maintaining donor records and contact reports in Advancement CRM for the Vice President of Advancement;
  • Ensures that all relevant information about donors & prospects is entered and updated;
  • Serve as the unit safety liaison;
  • Maintains division-wide PCard purchases (PCard, eVA procurement, GMUF); reconcile expenses on a regular basis;
  • Serves as a reconciler for the Special Assistant and Vice President of Advancement on BoA Works;
  • Reviews and approves processes all accounts payable invoices, vouchers, purchases and travel requests for University (E&G) and Foundation funds allocated to The Office of Advancement and Alumni Relations; and
  • Reconciles monthly budget to actuals, and develops the annual budget for Advancement.


Required Qualifications:


  • Associate's degree required or the equivalent level of training and experience;
  • Exceptional attention to detail; strong analytical and problem-solving skills;
  • Excellent verbal and written communication skills with the ability to listen and express ideas and thoughts effectively;
  • Warm, professional demeanor; positive and helpful attitude; strong customer service orientation;
  • Ability to interact positively with a wide range of constituencies in person, via telephone, email and in writing;
  • High level of integrity, solid judgment and the ability to both self-initiate and ask for guidance as needed;
  • Demonstrated ability to manage multiple priorities, follow through on projects and be proactive and solution-oriented;
  • Ability to work collaboratively as part of a small, highly efficient team;
  • Ability to handle frequent interruptions and a fast-paced work environment;
  • Must be proactive, creative and have a high level of energy and enthusiasm;
  • Commitment to adopting best practices and operational efficiency;
  • A desire to continuously learn with a preferred interest in garnering fundraising experience;
  • Strong knowledge of Windows, Microsoft Office software, web browsers, and email. Working knowledge of donor database, contact management and tracking system;
  • Excellent Microsoft Outlook calendaring knowledge and experience;
  • Requires an understanding of the offices, departments and the organization and priorities of the University as a whole; and
  • Ability to handle highly personal information and maintain confidentiality.



Preferred Qualifications:


  • Bachelor's degree preferred;
  • Several (2-5 preferred) years of experience working in an administrative capacity;
  • Experience in higher education or nonprofit, preferred; and
  • Familiarity with Affinaquest Salesforce (or similar relational database).
