The George Mason University's Office of University Advancement and Alumni Relations is seeking a Gift and Records Analyst. About the Position:

Reporting to the Associate Director of Gifts and Records Administration, the Gift and Records Analyst supports the fundraising efforts of George Mason University by accurately processing each donor's contribution and by maintaining an up-to-date demographic record of alumni, parents, friends, and donors of George Mason University. The Gifts and Records Administration team works in partnership with schools, units, and divisions across the University to enhance a donor's experience throughout the life cycle of their giving.

The Office of Advancement and Alumni Relations is responsible for all aspects of fundraising for George Mason University which includes the successful discovery, cultivation, solicitation, and stewardship of all donors. Advancement's mission is to build strong, lifelong relationships with George Mason University's alumni and constituents, while matching their philanthropic interests with the university's aspirations and priorities. Responsibilities:


The Gift and Records Analyst maintains the integrity of the Advancement/Foundation database. This position uses sophisticated research techniques to validate new and updated information. They use a complicated database application to enter new and updated information, as well as accounts receivables into the database, performs post-entry audits, and acts as liaison with other university departments to exchange demographic information for alumni, faculty, staff, donors, and prospective donors. This position will be cross-trained to perform the duties of co-workers as needed. The Gift and Records Analysts must be available to work during the Winter Holiday break.

Duties Include:


  • Reconciles transactions to donor instructions, bank deposits, and accounting reports;
  • Enters gift batches into Alumni & Advancement database;
  • Acts as the primary analyst for specialist gift assignments such as payroll deduction, web gifts, events, and EFTs, etc.;
  • Reviews gift batch transactions entered by coworkers for accuracy prior to the posting process;
  • Takes on assignments that focus on data updates for specialized areas of Advancement;
  • In a supporting role in coordination with Data Integrity Manager, reviews, updates, and/or enters donor demographic data from the various data sources; and
  • Reviews gift tax receipt letters for accuracy prior to mailing.


Required Qualifications:


  • High School diploma and/or the equivalent level of training or experience;
  • Understanding of database operations;
  • Advanced PC skills including data entry, word processing, online research, and email;
  • Ability to quickly learn and understand new software programs and their applications;
  • Advanced research, analytical and decision-making skills and problem-solving and experience;
  • Ability to recognize problems and offer solutions;
  • Strong interpersonal and organizational skills, flexible and detail-oriented;
  • Ability to coordinate student and wage workers' assignments;
  • Ability to maintain confidentiality; and
  • Ability to provide a professional presence and use of solid communication skills when working with internal and external constituents.


Preferred Qualifications:


  • 2 years working with data entry and retrieval, preferably using advancement software; and
  • 1 year working in a customer-oriented position - dealing with either external or internal customers.
