Communications CoordinatorGeorge Mason University's Department of Health Administration & Policy, within the College of Health and Human Services, is launching a search for a Communications Coordinator.George Mason University has a strong institutional commitment to the achievement of excellence and diversity among its faculty and staff, and strongly encourages candidates to apply who will enrich Mason's academic and culturally inclusive environment.About the Position:The successful applicant will work both independently and as part of team to support the academic and research mission of the department. The incumbent shall possess excellent technical, communication and interpersonal skills, have a customer satisfaction focused attitude and enjoy the challenge of working in an academic institution with a variety of internal and external stakeholders. The essential duties of the position involve providing support related to office operations, grant development and administrative support, event and meeting management and communications. Responsibilities:Office Operations and Administrative SupportSupport for department faculty through procurement, calendaring, room scheduling, travel authorizations and reimbursements, and general office administrative tasks as needed;Provide customer service via telephone, email, and in person inquiries about graduate academic programs;Provide support to academic program coordinators in HAP and liaison with CHHS to support graduate program recruiting events and activities;Serve as the point person for Department and academic program communications and correspondence;Support departmental documentation, data analysis, and record maintenance for academic support functions;Schedule meetings between faculty and internal and external stakeholders;Provide support services as requested for selected grant proposals related to formatting/reformatting proposal materials, tracking and problem-solving letters of support and supplemental materials, and follow-up lead faculty correspondence related to sub-contracts and external participants; andPrepare correspondence and promotional program materials for academic program directors and department faculty as requested. Event and Meeting ManagementPlan HAP events including budget, supplies, approved caterers, and coordinate volunteers to assist with student events;Assist with staffing and organizing academic, professional and recruitment meetings and other events for HAP;Reserve space with University 25Live system;Develop and distribute invitations internal and external entities via email, social media, event planning applications and mail;Maintain daily, monthly, and annual schedule of activities for the Academic Department and its academic programs;Manage event registration and meeting RSVP lists; andSupport and/or coordinate departmental special events and event planning, recruitment and marketing efforts with the CHHS Office of Marketing and Communications and Office of Student Affairs.CommunicationsIn collaboration with CHHS Marketing and Communications, manage HAP website updates using Drupal; Manage HAP social media communication using a variety of social media applications;Collaborate with CHHS Marketing and Communications personnel to prepare materials and website content consistent with Mason and CHHS brand and communication strategies;Promote Department and Program events using a variety of Mason and social media sources; andSupport communications for routine and special departmental activities and events.Required Qualifications:Bachelor's degree in business, health administration, communications or marketing (or equivalent combination of education and experience);Strong writing and oral communication skills;Sound organizational skills background;Ability to organize, manage and problem solve complex administrative processes;Ability and/or willingness to gain proficiency in software and web-based applications such as: Office 365 calendaring, e-mail; University applications such as Banner, Patriot Web, eVA and Mason Finance Gateway, mesa-shared electronic files, Drupal;Computer literacy and working knowledge of Microsoft Office applications (Word, PowerPoint, XLS Spreadsheet and Publisher), Adobe Professional Suite; Ability to work independently and complete multiple tasks within tight deadlines; andDemonstrated administrative support experience in an office setting, working with a variety of staff internal and external to the office/organization, in order to communicate, plan and problem solve. Preferred Qualifications:Minimum of two years administrative or office experience;Experience with GMU's administrative systems and procedures; andExperience working in higher education.
