Administrative Assistant for ADVANCE

The George Mason University ADVANCE Program invites applications for an Administrative Assistant. About the Department:

ADVANCE is an exciting partnership between Northern Virginia Community College (NOVA) and George Mason University (Mason) that gives NOVA students targeted, personalized support to complete their bachelor's degrees in a timely manner and save money.


The ADVANCE Administrative Assistant reports to the Director of ADVANCE. Responsibilities include:

  • Assists in all matters related to the daily support for the ADVANCE Director, Operations, and Coaching team. Performs routine office management (answering phones and directing queries, and managing electronic communication). Ensures the security, accuracy and currency of office files and information;
  • Acknowledges, prioritizes and responds to schedule requests and manages calendar. This includes managing the Director's day-to-day agenda (meetings, events, travel, and office time) in accordance with strategic priority and business urgency;
  • Prepares background briefings, agendas and presentations for meetings. Maintains confidential files;
  • Researches itinerary preferences, prepares travel authorizations and bookings. Processes expense reimbursements and purchasing orders;
  • Provides backup support for special project initiatives. Works one-on-one with the Director, Operations, and Coaching team in the preparation of ADVANCE events. This involves securing rooms, pre-authorizations for expenses, and coordinating schedules of those who are participating in these events and visits. Plans, promotes, coordinates with other departments, and monitors special events;
  • Provides excellent customer service in a calm, professional manner to all key customer groups, including but not limited to: Deans and Directors and partners of the ADVANCE program; colleagues and co-workers; students and parents; and outside callers who have an interest in ADVANCE or George Mason University;
  • Demonstrates respect for the University and its employees, students, faculty and staff. Serves as an ambassador for George Mason University to both internal and external audiences; other duties as assigned.

Required Qualifications:

  • Skill in operating applicable office equipment and software; ability to work both as a team member and independently; ability to multi-task and remain calm under pressure; outstanding customer service orientation. Must also be able to utilize the internet and library resources for research and references;
  • Must be an excellent communicator both in speaking and in writing;
  • Experience in a fast-paced professional office setting and strong customer service experience required.
