Office Manager, Hylton Performing Arts Center


The George Mason University, Hylton Performing Arts Center seeks qualified applicants for an Office Manager. About the Position:

The Office Manager is the first point of contact for Hylton Performing Arts Center administration and will provide consistent administrative support to the staff of the Hylton. The Office Manager will manage various projects utilizing and managing wage assistants, student workers, and interns.

Responsibilities:

  • Manage reception area; greet and direct visitors, answer phones and direct calls, provide information, and give tours;
  • Assist with R-25 entry to maintain the University calendar;
  • Assist in coordinating office projects including letters, contracts and special projects in Operations, Sales, Marketing, and Development;
  • Work with Executive Director and Board President to schedule all full and committee meetings;
  • Act as liaison between the Hylton and all Board Members;
  • Maintain minutes of all meetings;
  • Serve as Telecom Coordinator for Hylton Performing Arts Center administrative offices and all other spaces in the building;
  • Coordinate telecom needs with the University Telecom office including administrative moves involving computers, phones, equipment, and furniture;
  • Submit necessary work orders and follow-through until completion;
  • Maintain current Hylton Staff/Faculty lists, and distribute all staff emails;
  • Act as Banner EPAF liaison for the building;
  • Enter EPAFs into University system in an accurate and timely manner;
  • Handle deliveries and pick-ups (Fed Ex/Courier/UPS);
  • Maintain mailing lists and execute mail merges;
  • Assist with mass mailings;
  • Ensure that incoming mail is distributed daily to appropriate mailboxes.


Required Qualifications:


  • Bachelor's degree, or equivalent combination of education and experience;
  • Strong interpersonal and communication skills (both written and verbal), customer service skills, diplomacy skills, and the ability to work with a wide range of constituencies in a diverse community;
  • Ability to effectively prioritize work assignments and manage time efficiently;
  • Self-motivated with an ability to multi-task as needed and work efficiently in a fast-paced environment;
  • Proficient in Microsoft Office software, including word processing, spreadsheets, and email applications;
  • Willingness to learn and adapt to new technology;
  • Ability to foster positive working relationships.


Preferred Qualifications:


  • Knowledge of the Arts;
  • Knowledge of University procedures, policies, and regulations;
  • Two years of experience in office management.
