Assistant Director of Residence Life for Summer and Hospitality Operations

About the Department:

Housing & Residence Life (HRL) is a self-supporting auxiliary organization within the University Life unit of George Mason University. HRL serves a highly diverse population of approximately 6,200 students, the majority of which are undergraduates living in traditional, suite and apartment-style residence halls on three campuses within the vibrant Northern Virginia area. HRL employs over 170 full-time and graduate staff members and over 300 undergraduate student staff members. Responsibilities:

The Assistant Director of Residence Life for Summer and Hospitality Operations is a professional staff member responsible for overseeing the administration and management of summer conference, intern, and guest housing programs for Housing & Residence Life at George Mason University. The primary responsibilities for this position include establishing partnerships with internal and external camp/conference coordinators to grow summer occupancy and revenue, creating strategies to further develop the DC Region Summer Intern Housing program, and providing supervision and leadership to professional staff members assigned to this area. This position is a live-on role that includes participation in the Assistant Director duty rotation for the Fairfax Campus. The Assistant Director of Residence Life for Summer and Hospitality Operations reports to the Director of Residence Life.

The Assistant Director of Residence Life for Summer and Hospitality Operations will have primary responsibilities focused in the areas of Summer Operations Supervision and Leadership, HRL Desk Operations Supervision and Leadership, Collaborations and Partnerships, and Administration:



Summer Operations Supervision and Leadership:


  • Provide leadership and oversight for all summer housing operations including internal and external conferences, DC Region Summer Intern Housing, summer orientation, and guest housing programs;
  • Directly supervise and provide ongoing professional feedback and support to the Business Manager for Summer and Hospitality Operations and the ACUHO-I Summer Operations Intern;
  • Meet regularly with the Chief Housing Officer & Director of Residence Life to develop comprehensive strategies and goals focused on annual growth and expansion of HRL's Summer Operations;
  • Establish and maintain positive working relationships with GMU departments critical to the success of a robust summer housing program including Mason Dining, Parking Services, Events Management, and New Student & Family Programs;
  • Co-Chair the HRL Summer Operations Committee; host year-round meetings with various HRL stakeholders to ensure proper communication and planning across areas (housekeeping, maintenance, IT, etc.);
  • Collaborate with the Residential Communities staff on annual revisions to summer student staff position descriptions; oversee the summer student staff recruitment, interview, and selection processes;
  • Develop and execute a 12-month marketing & communications strategy for HRL Summer Operations, inclusive of print & digital marketing, website, social media, and in-person promotional events;
  • Assist the Business Manager for Summer and Hospitality Operations with the creation of quotes & invoices, management of summer guest assignments, and other data management tasks in Star Rez Conference module;
  • Regularly meet with the Director of Residence Life and the Business Manager for Summer and Hospitality Operations prior to and during the summer months to coordinate logistics for all residential summer programs.


HRL Desk Operations Supervision and Leadership:


  • Provide year-round leadership and oversight for Housing & Residence Life Desk Operations, inclusive of two (2) 24-hour service desks, and HRL Central Office phone and email communications;
  • Directly supervise two (2) Administrative Specialists for Residential Communities and provide indirect supervision and support for 12-15 undergraduate Office Assistants (OAs);
  • Collaborate with the Administrative Specialists for Residential Communities to ensure prospective and confirmed summer guests receive timely and accurate communications including reservation confirmations, contract approvals, and general inquiries;
  • Coordinate with the Assistant Directors of Residential Communities and HRL Desk Operations Team to successfully plan and execute spring semester move-out, summer student housing move-in, and multiple rounds of intern student housing check-in and check-out throughout the summer months;
  • Attend student staff team meetings on an as-needed basis throughout the summer and academic year.



Collaboration and Partnerships:

  • Develop and maintain effective working relationships with all HRL staff;
  • Work closely with HRL colleagues in Residential Services, Housekeeping, and Maintenance to develop a detailed summer housing timeline to ensure smooth transitions between academic terms;
  • Serve on departmental and University Life committees focused on residential students, auxiliary services, and summer programs and operations;
  • Serve as a University conduct hearing officer for escalated student incidents when needed;
  • Participate in departmental, divisional, and University-wide committee and work group opportunities.


Administration:


  • Provide leadership and administrative support to all operations within assigned areas;
  • Support the coordination of large-scale departmental operations including, but not limited to, semester opening and closings, summer turn processes, early arrivals, and break housing;
  • Provide oversight for follow-up related to maintenance needs and facilities projects;
  • Support processes focused on occupancy management and assignment accuracy in collaboration with the Residential Services team;
  • Within assigned areas of management, oversee purchases and vendor contracts for fiscal accuracy and ongoing reconciliation processes within departmental budgets;
  • Ensure accurate damage billing and key/access management procedures in collaboration with Residential Services and Facilities staff;
  • Support efforts connected to assessment for departmental and University Life goals and objectives.



Other:


  • Serve in the Assistant Director duty rotation to provide evening, weekend, and holiday support and assistance to Residential Communities staff;
  • Serve as essential personnel and respond to emergencies and crisis situations that occur within the residential communities;
  • Be willing to work flexible night and weekend hours as necessary;
  • In the event of an Assistant Director of Residential Communities vacancy, interim supervision of Community Directors may be assigned;
  • Perform other duties as assigned by the Director of Residence Life or designee.


Required Qualifications:

  • Master's degree required with 3-5 years full-time experience working in residence life and/or residential services;
  • Proven ability in establishing successful new programs or partnerships in a higher education setting;
  • Experience in leadership and supervision of undergraduate student staff is required.


Preferred Qualifications:

  • Significant experience in residence hall management, summer conference services, and crisis response;
  • Master's degree in student affairs administration, higher education, counseling, or a related field preferred.
