Job Req ID: 67539 Administrative Coordinator The mission of the International Vaccine Access Center (IVAC) at Johns Hopkins Bloomberg School of Public Health is to accelerate global access to life-saving vaccines through the development and implementation of evidence-based policies. The work of IVAC focuses on disease epidemiology, vaccine economics and supply, monitoring and evaluation of vaccine introduction and Center programs, and advocacy and communications activities to increase the profile of and global action on vaccine-preventable disease. Specific Duties & Responsibilities: * Coordinate and perform administrative duties for IVAC's Executive Director and other faculty, provide confidential administrative support, arrange conference, and travel logistics, assist with project activities, and demonstrate a high level of customer service excellence to IVAC's internal and external partners, key stakeholders, and colleagues. * Provide support to the IVAC team with purchasing, records management, project activities, and meeting scheduling & setup. * Adhere to University, Department and IVAC operating policies and procedures * Assist with new faculty, staff and student hire orientation procedures and activities * Represent IVAC as appropriate in communicating with faculty, staff, students, and external contacts to address queries, manage scheduling, resolve administrative issues, planning of events and to gather data as needed. * Work closely with the Operations team including administrative, finance and contract team members, to carry out the administrative tasks necessary for Center and project specific activities. * Locate and compile information and format reports, graphs, tables, records, and other documents as needed. * Assist with Event Planning. * Operate a personal computer to access e-mail, electronic calendars, and other basic office support software. * Use various software applications, such as spreadsheets, relational databases, and graphics packages to assemble, manipulate and/or format data and/or reports. * Maintain faculty's calendar, travel, and appointment management. * Assist faculty, staff, and students with the submission of reimbursements in SAP Concur system. * Maintain financial & administrative documentation. * Assist with drafting and formatting correspondence, presentations, and reports. * Develop internal relationships; collaborate with internal/external partners on matters central to IVAC's goals and mission. * Work on special projects and other assignments as needed. * Some travel maybe required Minimum Qualifications (Mandatory): * High School Diploma/GED. * 3 years related experience administrative/academic experience. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula. * Previous experience in an academic program setting, graduate fellowship/scholarship programs preferred. Preferred Qualifications: * Strong organizational and interpersonal skills. * Special Knowledge, Skills & Abilities: * Strong computer skills, especially with Microsoft Office applications (Word, PowerPoint, Excel, Outlook, Teams). JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
