Job Summary/Company: Our client, an international non-profit industry trade group for pharmaceutical and biopharmaceutical manufacturers, is looking for a motivated and diligent Administrative Assistant to support senior leadership. This individual will bring a Bachelor's degree and exemplary communication skills in addition to an interest in gaining industry experience in the nonprofit space.

Vaccination against COVID-19 is required for this position. This position will sit 100% onsite.

Responsibilities:
  • Manages and coordinates President's daily schedules to include travel arrangements, scheduling of Board conference calls, meetings both internal and external to the organization.
  • Manage the Controlled document (Policies & Procedures) revision, distribution and filing.
  • Drafts and edits proposals, reports, and correspondence.
  • Plans and coordinates scheduling, data compilation, and correspondence for President.
  • Organizes and maintains filing and document retrieval system (electronic & paper) to allow for easy access to information. Maintains filing systems for the office of the President.
  • Works with all Senior Staff members to develop and execute a comprehensive Global Metrics summary by evaluating data and reporting the effectiveness through organization membership, meetings, conferences and courses, products, and services.
  • Takes and transcribes minutes for all Senior Staff meetings and/or calls as may be requested.
  • Scheduling multiple meetings by (All Hands Meeting, Portfolio Steering Committee, Communications Meeting, as assigned).
  • Develop and manage PowerPoint presentations.
  • Supports internal graphic design updates when needed for minor projects in administration and across departments.
  • Other administrative duties as may be assigned by President.
Qualifications/Background Profile:
  • Bachelor's degree required
  • At least 2+ years of progressive administrative experience
  • Excellent organizational skills and the ability to effectively work independently, with minimal supervision
  • Proficiency in Microsoft Office, particularly MS Teams
