Responsibilities

The Department of Technology Services provides an array of enterprise services to the judiciary, both for national judiciary systems managed by the Administrative Office (AO) as well as local court-managed systems across the country. The Chief Operating Officer (COO) provides technical and operational oversight to the AO Technology Office, the Cloud Hosting and Networks Office, the Enterprise Operations Center, and the Systems Development and Support Office.

The incumbent will serve as staff assistant reporting to the COO. The incumbent will provide administrative and management support to the COO and COO Office Chiefs.

Duties may include, but are not limited to, the following:
  • Serving as the primary point of contact for all incoming and outgoing materials for the Chief Operating Officer (COO) and COO Office Chiefs ensuring both have requested documents and materials for meetings, reports, and correspondence well in advance of deadlines.
  • Managing calendars for the COO and COO Office Chiefs such as scheduling individual appointments, small and large meetings and teleconferences and communicating with participants before the appointment, meeting, and/or conference call about the subject matter and required materials.
  • Responding to inquiries of a non-technical nature concerning matters which the office controls.
  • Serving as the point of contact for correspondence to include reviewing and tracking correspondence, answering questions by COO staff pertaining to the proper formatting and addressing of correspondence, and following up with responding COO offices as needed to ensure a complete and timely response.
  • Maintaining and cataloging paper and electronic records for the COO offices as required.
  • Receiving, screening, and making appropriate referrals of telephone calls and visitors.
  • Providing requested information pertaining to administrative matters, when appropriate.
  • Providing secretarial and administrative support to COO staff when necessary.
  • Planning meetings, including logistics, technological arrangements, sleeping accommodations, travel authorizations, travel vouchers, refreshments, and meeting room support for all attendees and coordination with vendors and presenters.

  • Qualifications

    Applicants must have demonstrated experience as listed below. This requirement is according to the AO Classification, Compensation, and Recruitment Systems which include interpretive guidance and reference to the OPM Operating Manual for Qualification Standards for General Schedule Positions.

    Specialized Experience : Applicants must have at least one full year (52 weeks) of specialized experience which is in or directly related to the line of work of this position. Specialized experience must demonstrate ALL areas defined below:
  • Receiving correspondence for an executive and conducting the necessary follow-up to ensure actions are timely completed.
  • Scheduling large or small meetings with participants inside and outside the Administrative Office.
  • Coordinating all travel arrangements for executive staff.
  • Using various automated systems and databases (e.g. Judiciary Electronic Travel System, Judiciary Integrated Financial Management System, etc.).
