Summary

This position is located in the Refugee, Asylum and International Operations Directorate Travel Unit.

As a PROGRAM ASSISTANT (TRAVEL) you will provide support to the RAIO Directorate Travel Unit by performing a variety of travel related administrative tasks. The Program Assistant will be responsible for addressing travel related questions or concerns, preparing a variety of travel documents and research and apply appropriate policies and procedures for domestic and international travel.

Responsibilities

  • The responsibilities described are for the GS-07 level. At developmental grade levels, assignments will be of more limited scope performed with less independence, and limited complexity.
  • Prepare and submit country clearance requests for international travel, submit courier service requests to the DOS, Passport Office, and foreign embassies and consulates for travel documents, and process security check requests for travelers.
  • Conduct research on the Department of State Visa Information website to verify specific requirements established by foreign embassies or consulates for the submission of foreign visa requests.
  • Assist travelers with questions and concerns regarding visas, country clearances, expense voucher and authorizations. Prepare travel authorizations and amendments in the Government Travel System for international and domestic travel.
  • Monitor and revise the Travel Section's standard operating procedures on travel related functions.
  • Maintain the travel expense voucher tracking log and conduct thorough reviews of travel expense vouchers for accuracy and adherence to existing USCIS travel policies and regulations
  • Review visa applications for accuracy, prepares memorandum for visa issuance, and submits foreign visa requests.
  • Assist with obtaining Official and Diplomatic Passports for TDY and PCS travelers.

This position is not considered "essential" for purposes of reporting to work when the facility might otherwise be closed.

Residency Requirement: There is a residency requirement for all applicants not currently employed by U.S. Citizenship and Immigration Services. This residency requirement states that candidates must have, for three of the last five years immediately prior to applying for this position; (1) resided in the United States; OR (2) worked for the United States Government as an employee overseas in a Federal or Military capacity, OR (3) been a dependent of a U.S. Federal or Military employee serving overseas.

Qualifications

Selective Placement Factor: You must have experience coordinating international and domestic travel for large groups federal employees in accordance with Federal Travel Regulations (FTR) and Department of State Standardized Regulations (DSSR). This experience must include coordinating diplomatic and official passports, visas, security clearances, country specific requirements, travel logistics, and other obstacles in accordance with the FTR and DSSR for international details and permanent change of station travel. This experience must be documented in your resume. Failure to do so may result in an ineligible rating.

GS-06: You qualify at the GS-06 level if you possess one (1) year of specialized experience, which is equivalent to at least the GS-05 level in the federal government, that equipped you with the skills needed to successfully perform the duties of the position. You must have experience performing the following duties:
  • Preparing travel program documents including diplomatic and official passports.
  • Assisting with the coordination of various facets of international and domestic travel by applying Federal Travel Regulations and Department of State Standard Regulations.
  • Working with the review and retention of official travel documents for large groups.
  • Assisting with travel vouchers to review and verify submitted expenses for accuracy.

GS-07: In addition to the requirements at the lower grade level(s), to qualify at the GS-07 level if you possess one (1) year of specialized experience, which is equivalent to at least the GS-06 level in the federal government, that equipped you with the skills needed to successfully perform the duties of the position. You must have experience performing the following duties:
  • Coordinating a variety of domestic and international group travel logistics in accordance with Federal Travel Regulations and the Department of State Standardized Regulations.
  • Preparing a variety of travel documents including E-Country clearance requests, foreign visas, and diplomatic and official passports.
  • Preparing travel authorizations, amendments, vouchers in an electronic travel system.
  • Assisting travelers with voucher preparation and adherence to existing federal travel policies.
