POSITION SUMMARY
The Project Support Coordinator supports projects by drafting project-related contract documents; communicating with internal and external clients, consultants, and vendors; maintaining contract and project-level finance files; creating and managing multiple tracking documents/databases; and other forms of project support.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Facilitate the project monthly progress reporting process, including conducting quality assurance/quality compliance (QA/QC) on the reports
- Conduct QA/QC on project proposals and contract documents
- Maintain the contracts repository and tracking documents/databases
- Draft program-level and select project-specific contract documents in collaboration with the project managers and senior managing director(s)
- Under the direction of project and program leadership, send project contract-related communications and requests to external stakeholders, including clients, consultants, and vendors
- Liaise with the senior managing director, and legal and compliance team to facilitate the project-level consultant contract renewal process
- Organize, track, and report on program staff attendance for contractually required training sessions
- Facilitate project and program leadership review and responses to external contractor performance assessments and support project compliance with contractual requirements
- Assist with ongoing contract process development and improvement (e.g., new template development)
- Assist with data entry and QA/QC on program staff utilization spreadsheet
- Populate estimate-to-complete worksheets for each project
- Communicate and escalate identified risks to leadership
- Provide assistance and administrative support to project, program, and NQF staff, as needed
POSITION QUALIFICATIONS Education/Certification:
Bachelor’s degree preferred, with at least 2 years of relevant work experience.
Experience:
- Experience in government contracts is an asset
- Experience working with executive-level staff and external constituents is an asset

- High attention to detail, ability to balance multiple projects and prioritize time effectively, and meet deadlines in a fast-paced environment
