What does a Legal Support Coordinator do?

As a Legal Support Coordinator, you will lead a staff of office administrative and legal support employees in preparing and processing legal documents and correspondence and maintaining legal filing systems. The lead role includes establishing and maintaining office management procedures, as well as managing and making adjustments to the workload of administrative and legal support staff (including Legal Assistants and Secretaries). Leading the support staff includes handling issues that are elevated to you by the staff and ensuring all support staff are trained on the key aspects of their jobs. You will assist the supervisor by providing input to performance appraisals and awards for staff members. Please note this is not a formal management position.

You will serve as a Legal Support Coordinator and the Team Leader.

As a Legal Support Coordinator, you will:
  • Serve as the focal point for coordinating and administratively handling complex or unique calls and/or correspondence.
  • Identify, analyze, and resolve difficult issues or problems encountered by the support staff and provide recommendations for resolving procedural issues and concerns.
  • Provide administrative oversight and accountability for the accuracy of data and records input into the computer system.
  • Conduct studies of how the support staff's work flows through the office and the staff's efficiency in achieving their work goals.
  • Provide technical assistance and solutions to problems referred by lower graded support staff.
  • Prepare a variety of administrative and legal documents such as cover letters, correspondence, reports, and pleadings that include tables of contents, tables of citations, statutory appendices, and financial and statistical tables.
  • Prepare periodic and annual reports, including summary information, in the appropriate format.
  • Monitor legal assistants' work as a back-up CASE operator to ensure that information is being properly inputted into office related systems and that reports are correctly run.
  • Oversee the overall mail operation of the office. Review incoming mail and, as appropriate, establish administrative controls on certain items.
  • Manage correspondence control, mail and file integrity, and records management processes at the post of duty.
  • Develop and maintain effective relationships with managers and employees at all levels of the IRS organization for the purpose of supporting the legal services provided by the Office of Chief Counsel.
  • Review all reports submitted from the office's staff for accuracy and completeness; as appropriate, prepare summaries and assure submission of such reports to higher echelons.

As a Team Leader, you will:
  • Be responsible for ensuring that work assignments are carried out effectively.
  • Check or spot check team's work in progress and reviews completed work to see that Office Manager's instruction on work sequence, procedures, methods, deadlines, and priorities have been met.
  • Distribute and balance the workload among support staff in accordance with established workflow, assure timely accomplishment of assigned work, and assure that each employee is fully occupied.
  • Monitor the status and progress of work, make day-to-day adjustments in accordance with established priorities, and obtain assistance on problems from Office Manager on problems that arise.
  • Provide information as requested concerning team member promotions, reassignments, recognition for outstanding performance, i.e. awards, and personnel needs. Request PAR actions for team members.
  • Provide input on performance, progress, and training needs of employees, as well as on behavior problems.
  • Provide training to new employees in accordance with established administrative procedures and practices.
  • Answer a variety of administrative and legal support questions for office employees on different procedures, policies, and directives.

You must meet the following requirements by the closing date of this announcement:

GS-09: You must have one year of specialized experience at a level of difficulty and responsibility equivalent to the GS-07 grade level in the Federal service. Specialized experience for this position includes: Resolving problems of a non-technical nature, analyzing office operations and making recommendations to improve efficiency, and providing final review of documents for compliance with office policy and regulations. Performing administrative duties such as reviewing time and attendance or travel documents. Creating and/or analyzing office reports.


You may substitute education for specialized experience as follows: Master's or equivalent graduate degree or two full years of progressively higher level graduate education leading to such a degree or LL.B. or J.D., if related.


You may qualify by a combination of experience and education as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) beyond the first year (total graduate semester hours minus 18) by 18. Add the two percentages.

The experience may have been gained in the public or private sector, or through Volunteer Service . One year of experience refers to full-time work; part-time work is considered on a prorated basis. To ensure full credit for your work experience, please indicate dates of employment by month/year and indicate the number of hours worked per week on your resume.

In addition to the above requirements, you must have been at the GS-07 level for 52 weeks (time-in-grade requirement).
