The Chief Accounting Officer (CAO) is responsible for establishing and managing accounting and finance workflows to include financial Reporting; general ledger accounting (Month End Close); accounts receivable (invoicing and collecting client payments); client reserve deposit management; accounts payable (supplier payments, including reconciling relevant provider payments as cost of goods sold "COGS"; expense reimbursements; payroll funding; and budget development, administration, and variance reporting. The CAO is also responsible for the oversight of achieving strong Internal Controls and meeting all applicable compliance requirements. The CAO will performance manage team members, essential functions include goal setting, recruiting, training, and ensure role procedures are developed, documented, and improved upon. Executive Leadership + Proactively participate as part of Autoscribe's leadership team to drive forward business initiatives, provide sound business governance and achieve corporate objectives and key results. + Work collaboratively with all parts of the business with the goal of improving business processes and workflow design, business operations, and progressing the business towards scalability and continued growth. + Communicate with co-workers, management, and others in a courteous and professional manner. + Drive Accounting and Finance team efficiencies, breaking down barriers to execution, both internally and company-wide. + Conform with and abide by all regulations, policies, work procedures and instructions. ? Finance & Accounting Management + Lead financial operations in the development, implementation, and oversight of company-wide accounting policies, internal controls and compliance requirements + Manage the activities of the Finance and Accounting team for the accurate and timely close of monthly financial operations, and the dissemination of financial management reports including, but not limited to, internal and external monthly financial statements, and annual audits to CEO and respectively designated team members. + Manage the Month End General Ledger close process. Review and approve journal entries. Review and approve balance sheet reconciliations. Ensure the timely close of subledgers and manage the process to the month end close timeline. Timely report on material variances and excursions to CEO. + Oversee Accounts Receivables ("AR") activities to ensure the accurate and timely management of all related functions, including invoicing through complex processes, and weekly summary reporting accounts receivable aging to leadership team, and detailed reporting to business heads. Coordinate with business heads on action steps with clients where collections are a concern. + Oversee Accounts Payables ("AP") activities ensuring the accurate and timely processing of accounts payable, corporate credit card reconciliation and expenses, and employee expense reports. + Improves and maintains FAS accounting system that matches asset purchases (such as workstations and servers at our data centers) to an inventory tag, location, and its respective depreciation schedule. + Work closely with the head of Human Resources to coordinate payroll funding, and maintain a contingency protocol for payroll processing and other Human Resources functions. + Find, analyze and execute opportunities for continuous improvement by process simplification, driving automation and elevating the quality & accuracy of all deliverables. + Responsible for oversight of the Audit process and communication with Audit partner. + Assure corporate income tax compliance to assure the accurate and timely completion of all corporate income tax returns taking full advantage of all favorable tax codes. Maintain a working knowledge of Section 179 limits and accepted schedules of asset depreciation and de minimis safe harbor policies and apply them to purchase recommendations. + Responsible for sales, use, and state business tax filings for Autoscribe and its affiliated entities. + Responsible for proper remittance of payroll taxes, including quarterly filings. Responsible for annual provision of employee W2 and 1095-C forms, when applicable, and 1099 forms for contractor labor. + Responsible for systems, delivery and payouts for Autoscribe's revenue-share distribution and capability partners. + Responsible for correctly calculating and disbursing commissions to our sales professionals. + Responsible for disbursing variable bonuses to production employees, based on agreed-to scoring systems, in partnership with the head of Human Resources. Business Planning and Budgeting + For departments and new services or initiatives to be introduced, facilitate and lead the cost center-based budget and forecasting process by assisting with the formulation and collection of key assumptions, preparing budgets, and analyzing results. + Coordinate and collaborate with other departments to understand business objectives, validate the quality and completeness of data analyzed, and communicate the results. + Incorporate Budget and Forecast into periodic management reporting. Financial Systems + Identify detailed business requirements to define financial systems development initiatives for the purpose of automating manual processes, strengthening system integration and deploying new workflows. + Drive system implementations aligned to business objectives and growth goals. It is expected Autoscribe will need to transition to a new accounting system, so the requirements gathering and system selection will need to be prioritized. + Oversee system administration activities as related to Finance systems and integration. + Establish and maintain controls that verify the integrity and security of all financial systems, processes and data. For all such material systems function, both in place today and for what is to be developed, ensure effective mechanisms for correlation and consistent monitoring to ensure consistent, accurate, complete results. Work Environment and Physical Demands This job operates in a professional office environment. Days and hours of work are generally Monday through Friday, 8:30 am to 5:30 pm Additional support may be required based on business activity and finance deliverable due dates. Travel This position requires up to 10% travel, which may be outside the local area and overnight. Some travel may be on corporate aircraft. Education and Experience + Bachelor's degree in accounting or finance; + Master's degree or CPA certification not required, but desirable; and + Ten (10) years of hands-on accounting managerial experience. + Understanding of tax regulations and compliance. + Strong proficiency in accounting software. + Strong knowledge of Accounting Operations, GAAP, and compliance.
