An Overview
Under general supervision, the Mail Distribution/Duplication Clerk will be responsible for maintaining an orderly mail room to ensure organizational efficiency and provides operational support for the timely and accurate distribution of mail. The Mail Distribution/Duplication Clerk will also assist in operating and maintaining high-speed duplication, finishing, postage and related equipment. Responsibilities also include operating, cleaning and making minor adjustments on duplication and postage equipment.

What You Should Bring
The ideal candidate should have good knowledge of the operation of duplication and finishing equipment; ability to customize and prepare documents as permitted by the equipment; and the ability to trouble shoot and correct duplicating equipment stoppages when problems are minor. Ability to analyze, interpret, and apply US postal and shipping rates. Knowledge of US postal regulations pertaining to special delivery, registered, insured, special handling, and other specialized categories of mail. Excellent organizational, verbal, and written skills. Physical ability to lift and carry heavy cartons and mail trays up to 50 pounds; and the ability to follow verbal and written instructions.. Demonstrated proficiency in use of technology and computers including Word, Excel, and standard mailing procedures, software packages and parcel tracking packages.
The Opportunity - Examples of Work
  • Sorts and distributes U.S. Mail and inter-office mail;
  • Conducts daily mail deliveries to locations in Alexandria and Northern Virginia;
  • Extracts data and compiles information for daily postage reports to ascertain balance in postage meters,
  • Assesses and distributes copier supplies to satellite duplication sites and other agencies, to include delivery of copier paper;
  • Operates high-speed duplication machines to produce copies in a variety of sizes and paper colors;
  • Scans and digitizes forms and documents as requested;
  • Compiles data for monthly charge-back billing of copies requested by agencies;
  • Performs related work as required.

Minimum & Additional Requirements

High School Diploma or GED; completion of high-school-level courses in arithmetic and English; one year of experience in the operation of duplication and copier equipment; or any combination of experience and training which provides the required knowledge, skills and abilities to perform the job; possession of a valid driver's license issued by the state of residence; ability to lift and carry heavy cartons and mail trays.

Preferred Qualifications

Minimum three (3) years of relevant general office experience, duplication and/or printing experience, mail-room experience, or a similar environment, knowledge of postal regulations preferred. Must be able to read, write, and speak English fluently. Strong initiative required; ability to work independently with minimal direct supervision. Working knowledge of Microsoft products including but not limited to Outlook, Word, and Excel. Must posses the ability to lift objects up to 50 pound with or without accommodations; ability to stand for long periods of time.


This position requires the successful completion of pre-employment background checks including but not limited to drug testing and criminal background.

The Department of General Services (DGS) is a first response department and as such all DGS employees are deemed essential or emergency personnel and may be required to report to work when the City government is open with liberal leave or closed during emergencies.

The Part-time Duplication Clerk position works 25 hours per week Monday - Friday 9:00am - 2:30pm.
